This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a HR Coordinator based in India.
This is a full-time remote HR coordination role supporting day-to-day people operations and client-facing HR services. You will help keep recruitment, employee lifecycle activities, documentation, and HR processes running smoothly. The role offers broad exposure to different organizations, industries, HR requirements, and client environments. You will work closely with employees, managers, candidates, clients, and senior stakeholders while maintaining accurate and confidential records. Success in this position requires strong organization, responsiveness, attention to detail, and consistent follow-through. As the business grows, the role provides opportunities to develop practical experience across HR operations, people advisory, and managed HR services.
- Coordinate day-to-day HR activities, supporting both internal operations and HR services delivered to clients.
- Maintain accurate and confidential employee records, HR files, databases, documentation, and client information.
- Organize HR document libraries, ensuring clear filing structures, naming conventions, version control, and easy access to information.
- Create and maintain HR templates, forms, letters, checklists, trackers, SOPs, workflows, and other standard documentation.
- Support recruitment activities from job postings and CV screening through interview scheduling, candidate communication, follow-ups, and recruitment tracking.
- Coordinate employee lifecycle processes including onboarding, documentation, attendance, leave, probation, renewals, payroll inputs, and offboarding.
- Support the development and implementation of HR policies, procedures, SOPs, workflows, and RACI matrices.
- Coordinate performance management and other HR cycles, including meetings, documentation, action tracking, and follow-ups.
- Monitor tasks, deadlines, deliverables, dependencies, and outstanding actions to ensure commitments are completed on time.
- Proactively communicate with employees, managers, candidates, clients, and other stakeholders to keep processes moving.
- Prepare HR dashboards, trackers, management reports, and basic HR research to support decision-making.
- Coordinate approved employee, client, and business communications, ensuring information is accurate and distributed on time.
- Provide regular progress updates to senior leadership covering completed work, pending tasks, upcoming deadlines, dependencies, and issues requiring escalation.
- Identify delays, risks, documentation gaps, dependencies, and process issues early and escalate them appropriately.
- Provide administrative and coordination support across HR projects, client assignments, and evolving business requirements.
- Handle sensitive employee, client, and company information with a high level of confidentiality and discretion.
- 2–4 years of experience in HR coordination, HR operations, or another execution-focused HR role.
- Strong organizational skills with excellent follow-through and the ability to manage tasks from initiation through completion without constant supervision.
- Strong written and spoken English, with clear, professional communication skills.
- Ability to manage multiple priorities, deadlines, stakeholders, and assignments simultaneously.
- Exceptional attention to detail, particularly when working with employee records, HR documentation, and data.
- Strong proofreading skills and a careful approach to reviewing documents and communications before distribution.
- Comfortable working independently in a fully remote environment while remaining responsive and available during agreed working hours.
- Strong accountability, reliability, responsiveness, and ownership of assigned work.
- Ability to handle confidential employee and client information professionally and discreetly.
- Comfortable working with HR documentation, spreadsheets, trackers, and business software.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Ability to communicate progress proactively, identify potential issues early, and keep stakeholders informed without waiting to be asked.
- Comfortable receiving feedback, adapting processes, and revising work when required.
- Ability to work within defined processes, accountability structures, and RACI frameworks.
- Willingness to learn and adapt to different client requirements, industries, and HR processes.
- Experience with Power BI or AI tools for reporting, analysis, documentation, or productivity is an advantage.
- Familiarity with HRIS platforms, including Zoho, is beneficial.
- Knowledge of UAE/GCC HR practices or experience supporting organizations in the GCC is a plus.
- Experience in outsourced HR, HR consulting, managed HR services, or a client-services environment is advantageous.
- Exposure to supporting multiple organizations or clients simultaneously is an added advantage.
