Compensation: $18.00 – $22.00 / Hour (Starting salary commensurate with experience and contract length)
Projected Start: Preparing for the 2026–2027 School Year (Our Inaugural Year at the New Facility!)

About the Role: The Architect of the Student JourneyEvery child’s journey at Mi Escuela Montessori begins with a single point of contact. As we move into our brand-new, state-of-the-art campus in Bartow, we are seeking a meticulous, systems-minded Registrar & Enrollment Manager to serve as the operational backbone of our school’s admissions, student records, and state compliance systems.
This unique role bridges two distinct regulatory worlds. You will manage the lifecycle of student data and compliance files for both our K-8 Public Charter School program and our Toddler-to-PreK Child Care program. You are the gatekeeper of compliance, the keeper of academic history, and the welcoming face of our enrollment process.
Key ResponsibilitiesDual-System Compliance & File Management: Maintain separate, flawless record-keeping systems that meet two strict auditing bodies:
Public School Records: Manage all public school cumulative folders, registration packets, immunization records (Form 680), and physicals in accordance with Florida DOE and FERPA standards.
DCF Child Care Files: Maintain all Department of Children and Families (DCF) licensing paperwork, staff credentials, and child enrollment files required for our early childhood/child care programs (Toddler to PreK).
Enrollment & Lottery Management: Oversee the entire admissions pipeline using our student information software. Design, execute, and audit the public charter school lottery system, ensuring absolute compliance with Florida statutes and school board policies.
The Voice of Admissions: Serve as the primary contact for prospective families. Answer complex questions regarding enrollment timelines, required documentation, and school policies with clarity, empathy, and professionalism in both English and Spanish.
FTE Compliance Expert: Lead the high-stakes Florida FTE (Full-Time Equivalent) data reporting cycles. Audit student schedules, attendance logs, and demographic data to ensure flawless reporting to the district and the state.
Academic Records & Middle School Grading: Maintain permanent student transcripts. Coordinate the collection and processing of quarterly grades for our middle school program, ensuring report cards are accurate and distributed on time.

The 11-Month Track (214 Days): Aligned closely with the active school year plus targeted weeks before and after the summer block.
The 12-Month Track (247 Days): Provides year-round operational oversight, ensuring continuous support for summer admissions tours, lottery rollouts, and ongoing DCF early childhood enrollment.
Required:
Education & Experience: High School Diploma required (Associate’s or Bachelor’s degree preferred). Proven experience managing student records, registrar duties, or complex compliance files in a Florida public/charter school OR a DCF-licensed child care facility.
Technical & Regulatory Mastery: Deep familiarity with Florida FTE reporting rules, cumulative record laws, and public school lottery compliance. Knowledge of DCF child care licensing standards is highly prized.
Confidentiality: A flawless understanding of FERPA and HIPAA regulations.
Preferred (High Priority):
Bilingualism: Native or professional-grade fluency in Spanish and English (written and verbal). Because you will guide families through legal contracts, health forms, and academic records, the ability to seamlessly transition between both languages is essential to our dual-language mission.
