Job Summary

Southend Pharmacy, is building out its Program Management function as part of a larger initiative to create an in-house engine of visibility and strategic achievement. The Program Coordinator supports both the operational coordination and enterprise systems that keep cross-functional initiatives visible, organized, and moving. This role owns meeting preparation, scheduling, action-item tracking, and change-management communications while maintaining ClickUp, Product Launch tracking, KPI data, and reporting. We're looking for a detail-oriented, highly organized professional who's eager to learn, brings creativity to the table, and genuinely enjoys connecting with people across teams. This person will be the connective tissue between several large departments in a fast-growing pharmacy - dependable, resourceful, and energized by keeping complex, moving pieces on track. And you won't be figuring it out alone: you'll have the support of a dedicated Senior Program Manager guiding, mentoring, and supporting your learning and development - cheering you on every step of the way.

Key Responsibilities

  • Cross-functional coordination: Collaborates with directors, VPs, managers, and leaders across the organization - building relationships, removing roadblocks, and following through on action items, accountability, and milestones
  • Program administration: Handles day-to-day administrative duties supporting the Program Management function, including documentation, data entry, scheduling support, and general process upkeep
  • Meetings and milestone tracking: Owns meeting preparation, agendas, and scheduling; tracks action items and milestones across enterprise initiatives
  • Enterprise systems and reporting: Maintains the systems Southend relies on for visibility and accurate reporting - including ClickUp, Product Launch tracking, KPI Dashboards, and KPI data - through regular maintenance, reporting, and data hygiene audits. • ClickUp ownership and training: Develops into an in-house ClickUp expert and architect; supports system standards and owns new-hire onboarding and ClickUp training
  • Change-management communications: Develops and coordinates visuals, presentations, infographics, newsletters, announcements, and other communications that support organizational change
  • Department partnership: Serves as a day-to-day Program Management liaison for Compounding, Customer Service, R&D, Inventory, Pharmacy Operations, Marketing, Sales, Quality, Compliance, and Finance
  • Strategic improvement: Supports broader initiatives that strengthen the Program Management function, including AI implementation and other process improvements


What We Require

  • A minimum of a High school diploma or equivalent
  • Minimum 2 years of experience in a Program Coordinator, Project Coordinator, or comparable administrative/operations coordination role
  • Comfort with technology and basic administrative tools, including Google Suite (Google Docs, Sheets, Slides, Google Calendar, and Gmail)
  • Full, in-depth training on Southend systems is provided; willingness to become a certified in-house ClickUp expert is required
  • A genuine willingness to learn - prior systems expertise is not required, but adaptability is
  • Strong organizational skills and high attention to detail, particularly around data hygiene and documentation accuracy
  • Strong people skills and comfort communicating with senior stakeholders, including directors, VPs, managers, and leaders across the organization
  • Comfort working across multiple departments and stakeholders in a fast-scaling, regulated environment
  • Excellent written and verbal communication skills
  • Self-directed and reliable in a hybrid/ remote, full-time working environment

Preferred Requirement

  • Associate's degree or higher
  • Experience with Canva and Microsoft PowerPoint - strongly preferred
  • Comfort using AI tools (e.g., Claude, ChatGPT) to support day-to-day work - preferred
  • Experience with ClickUp or comparable project management software is a plus
