Primary Job Functions
The primary job function for the Office Coordinator is to provide support to the Administrative Team to attain and maintain the mission of LifeSkills Unlimited.
Job Duties/Responsibilities
Reports to the Director of Operations for SLA. In the event the Director of Operations for SLA is absent reports to the agency Chief Executive Officer.
Coordinate monthly vehicle checks and maintenance tracking
Oversight of home and vehicle keys
Track GERs and maintain logbook
Take bank deposits and communicate with the Fiscal Department as Directed
Oversee office supply inventory, ordering, and vendor coordination (water delivery, copier maintenance, Iron Mountain, and similar)
Coordinate building maintenance needs
Recruiting outreach/ job fairs as directed by Director of Operations
Assist HR with onboarding documents and HR admin support, as requested by HR
Prepare training paperwork and training room for all trainings (New Employee Orientation, Annual Training, CPR)
Create and maintain employee personnel files
Track expiring employee documents/training requirements and follow up to ensure timely completion
Oversee and assist with filing room organization and ensure consistent upkeep
Assist Director of Operations for annual information gathering for Service Authorizations renewal
Responding to all emails in a timely manner no less than by two business days
Maintain home QA weekly and monthly accountability reviews provided by Residential Support Managers
Provide backup support for Administrative team members
Participate with other team members in office operations and ensure the needs of the people served are met
Complete Other Assigned Duties
Follow all company policies and procedures to attain the mission of LifeSkills Unlimited
Attend training as required to maintain employment status
Assist all team members to problem solve ongoing issues
Responsibly and legally use all assigned LifeSkills Unlimited credit cards, cell phones, petty cash and other property assigned per job duties.
Upload all credit card purchases as trained by the fiscal department for correlation to charges on monthly bills
Assist Director of Operations to receive, make copies of SSA, wage and personal checks, to prepare and make deposits to the assigned bank providing the Director of Operations with the back-up documents.
Complete all reasonable assignments as directed by any agency management team member
Work directly with individuals as assigned in support of individuals needs
Skills/Expertise
Computer Operations are inclusive of Microsoft Office - Word (word processing), Excel (spreadsheet) and general internet functions.
High School Diploma or greater
Minimum 1 years Office Management/Office Coordination experience
Pre-employment Drug Testing
Criminal background check with no convictions
CPR, First Aid and Safety Care (provided by agency)
Valid, unrestricted Nevada driver’s license
Current liability insurance and vehicle registration
Good communication skills
Ability to self-initiate responsibilities
Good organizational and time management skills
Ability to maintain Confidentiality of all individuals, the agency and its employees
Ability to recognize and report hazards and apply safe work methods.
Complete ongoing training as required to maintain employment status.
Physical Demands: May involve climbing, balancing, stooping, kneeling, crouching, talking, reaching and fingering. May involve negligible to significant standing/walking/pushing/pulling/carrying. Involves hearing and speech to communicate in person or over the phone and vision to read printed materials and view training videos. Frequent use of a computer
Strength: Sedentary to heavy – exert force of 10-100 pounds, occasionally. Mobility to work in a typical residential or office setting and use standard home appliances or office equipment.
Examples of Equipment/Supplies to Perform Tasks: Thermometers, first aid supplies, blood glucose monitoring supplies, telephones, fax machines, copy machines and general home appliances including but not limited to stove, oven, microwave, vacuum cleaner, dishwasher, clothes washer and dryer.
NOTE: Offer of employment is not a guarantee of hours. Scheduled hours of work are based on the needs of the people served based on current contract with the State of Nevada.
