Overview

The Enrollment Clerk / Data Entry Specialist provides administrative and technical support under the Probate Enrollment Support Services contract for the Bureau of Indian Affairs (BIA), Alaska Region. This role supports the intake, processing, and maintenance of enrollment records associated with the issuance of Certificates of Degree of Indian Blood (CDIB), which are critical for determining eligibility for federal, tribal, and state programs.

Working within the Alaska Region Enrollment Office, the position ensures accurate, timely, and compliant processing of sensitive applicant data to maintain the integrity of tribal enrollment operations. The role is essential to sustaining ongoing program operations, minimizing processing delays, and supporting the modernization and continuity of enrollment services.

The ideal candidate is highly detail-oriented, experienced in data entry and records management, and capable of working with sensitive information in a structured, compliance-driven environment. This individual must be able to manage high-volume workloads, support customer-facing intake operations, and contribute to the accuracy and efficiency of enrollment processes in accordance with federal and tribal requirements.

Summary of Responsibilities

The Enrollment Clerk / Data Entry Specialist supports end-to-end CDIB application processing and enrollment operations to ensure accuracy, compliance, and timely service delivery. Duties include, but are not limited to:

· Receiving, logging, and tracking all incoming CDIB applications and supporting documentation

· Reviewing application materials for completeness and accuracy in accordance with BIA standards

· Performing data entry into enrollment databases with a high degree of accuracy and attention to detail

· Maintaining and organizing both physical and electronic records in compliance with records management requirements

· Supporting front-line intake operations, including applicant interaction, customer service, and front desk duties

· Preparing correspondence such as status updates, deficiency notices, and determinations

· Conducting basic research and verification to support application validation and eligibility review

· Assisting in fraud prevention by verifying supporting documentation and identifying inconsistencies

· Supporting mail processing, document intake, and general administrative operations

· Providing consistent updates to enrollment systems to reflect application status and program activity

Qualifications

The Enrollment Clerk / Data Entry Specialist shall possess experience in administrative support, data entry, or records management within a structured and compliance-driven environment.

· Demonstrated experience in data entry, records management, or administrative processing

· Strong attention to detail and accuracy when handling high-volume data and documentation

· Experience providing customer service and interacting with the public in a professional manner

· Ability to manage sensitive and confidential information in accordance with federal privacy standards

· Proficiency with databases, case management systems, and Microsoft Office applications

· Strong organizational, communication, and time management skills

· Ability to work collaboratively with federal staff, tribal representatives, and stakeholders

· Knowledge of tribal enrollment processes, Alaska Native communities, or genealogical research is preferred

· Ability to pass a federal background investigation and comply with DOI security requirements

Security

All personnel assigned to this position must successfully pass a federal background investigation prior to onboarding and maintain eligibility throughout the duration of the contract.

The Enrollment Clerk / Data Entry Specialist will be required to handle sensitive and confidential information, including personally identifiable information (PII), and must adhere to all applicable Department of the Interior (DOI) and Bureau of Indian Affairs (BIA) security, privacy, and information protection standards.
