Job Description
Position: Admissions/ Admin Assistant
Location: Remote- Michigan +/- 1 hour EST
Job Type: Employee
Pay: Hourly/ Part Time
Clonlara School is seeking an Admissions and Administrative Assistant who is passionate about personalized, learner‑centered education and excels at supporting families with care, clarity, and professionalism. Reporting to the Program Coordinator and working closely with the Director of Admissions, this role plays a key part in enrolling students into Clonlara’s US Off-Campus program from all around the world. The Admissions Assistant ensures responsive communication, accurate data management, and consistent follow‑through across all admissions activities. As a member of a mission‑driven, international learning community, the Assistant upholds Clonlara’s learner‑centered and culturally responsive approach in every interaction while providing reliable administrative and operational support to keep program functions running smoothly.
Responsibilities
-Provide administrative, clerical, and operational support to the Coordinator.
-Manage documentation and maintain accurate, organized records.
-Support family communications with clarity and professionalism.
-Coordinate scheduling, meetings, and calendar needs.
-Assist with data entry, file management, and internal workflows.
-Perform additional tasks as assigned to ensure smooth program operations.
-Guide families through inquiry, application, and enrollment.
-Provide clear program information aligned with Clonlara’s learner‑centered philosophy.
-Maintain timely communication, manage the admissions process in Blackbaud and escalate complex cases as needed.
-Keep accurate records of inquiries, follow‑ups, and candidate information.
-Track leads, update databases, and report on key admissions metrics.
-Build relationships with families and community partners.
-Lead informational webinars/calls and support events such as open houses, conferences, and graduation.

Background and Skills
1-2 years experience in customer service, education, marketing, communications, enrollment management, or a related field.
Qualifications
The ideal candidate will have demonstrated the following attributes and abilities:
-Experience delivering webinars, virtual presentations, or online events.
-Skills in "Closing the sale" in a mission-aligned, student-centered manner.
-Experience using database programs for data entry, retrieval, and reporting.
-Understanding FERPA and other relevant federal policies affecting student records. -Ability to maintain a high level of confidentiality.
-Familiarity with homeschooling and progressive education movements.
-Strong cross-cultural understanding, the ability to communicate with diverse populations, and a collaborative, non-judgmental approach to individual circumstances, preferences, and choices.
-Excellent written, verbal, and virtual communication skills.
-Time management skills, including organizing one’s own work, coordinating projects, setting priorities, meeting deadlines, and following up on assignments with a minimum of direction.
-Confidence using technology, working remotely and experience with Microsoft Office tools.
-Demonstrates openness to coaching, readily accepts direction, and collaborates effectively with supervisors and colleagues.
-Shows a strong commitment to teamwork and collaboration within a service-oriented environment.
-Command of the English language, verbally and in writing. Multiple languages are preferred.
