Job Description

Program and Event Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Program and Event Coordinator based in United States.

This role supports the delivery of a high-impact federal scholarship and workforce development program focused on science, mathematics, and research. You will coordinate events from initial planning through execution and post-event follow-up, ensuring every detail is organized and delivered effectively. The position combines event management, stakeholder engagement, public speaking, research, and project coordination. You will work with university partners, students, speakers, vendors, and internal teams to create successful outreach experiences. The role also contributes to special projects, reporting, process improvement, and operational coordination. It is well suited to an organized, adaptable professional who enjoys managing multiple priorities in a mission-driven environment. This is a remote opportunity with occasional meetings at a headquarters location in Tysons Corner, Virginia.

Accountabilities:
  • Coordinate the full lifecycle of internal and external events, including timelines, venues, vendors, registration, attendee communications, materials, speakers, and logistical requirements.
  • Serve as the primary coordinator during events, managing vendors, attendees, speakers, and internal stakeholders while resolving issues and keeping activities on schedule.
  • Complete post-event responsibilities, including event breakdown, invoice and budget reconciliation, attendee feedback, reporting, documentation, and follow-up activities.
  • Research STEM-focused events and conferences and provide recommendations based on audience demographics, expected return on investment, budget, and historical performance.
  • Deliver information sessions and presentations to university partners and students, communicating program information clearly and confidently.
  • Develop content for reports, presentations, PowerPoint briefs, and other program communications.
  • Support special projects by tracking tasks, timelines, workflows, action items, and deliverables to keep priorities on schedule.
  • Assist with stakeholder engagement by gathering updates, coordinating follow-ups, documenting decisions, and communicating project status.
  • Contribute to process improvement and project execution by organizing information, monitoring progress, and helping teams remain aligned on priorities and next steps.
Requirements:
  • Bachelor’s degree with 3+ years of experience coordinating and executing events across the full lifecycle.
  • Demonstrated ability to manage complex projects, multiple stakeholders, timelines, and competing priorities.
  • Strong public speaking and presentation skills, with the confidence to engage university partners, students, and other audiences.
  • Ability to adapt quickly to changing requirements and operate effectively in a dynamic federal environment.
  • Strong organizational, communication, follow-through, and problem-solving skills.
  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Access, and Outlook.
  • Experience working in or supporting the federal government or federal government consulting environment is preferred.
  • Familiarity with JIRA, ServiceNow, and process improvement methodologies is a plus.
  • A CMP or CGMP certification is preferred.
  • Ability to work independently while collaborating effectively with cross-functional teams and external stakeholders.
Benefits:
  • Remote work opportunity with occasional meetings in Tysons Corner, Virginia.
  • Target salary range of $85,000–$110,000 USD, with final compensation determined by factors such as location, qualifications, experience, skills, internal equity, business considerations, and applicable contract requirements.
  • Opportunity to contribute to a mission-focused program supporting STEM education, scholarship, and government workforce development.
  • Exposure to federal programs, university partnerships, event strategy, stakeholder engagement, and complex project coordination.
  • Collaborative environment with opportunities to support process improvement and special projects.
  • Equal employment opportunities and a commitment to an inclusive workplace.
  • Reasonable accommodations are available throughout the application process for qualified individuals with disabilities.
