General Summary:
The project administrator assists project managers and assistant project managers with assigned projects by planning, organizing, tracking, and coordinating the preparations and executions of projects while meeting cost, quality, schedule, and safety objectives.
Principal Accountabilities:
- Assists in all aspects of project management as requested by project managers.
- Responsible for managing document control for projects on the project management information system, including the following tasks: Filing project documents such as engineering drawings, technical specifications, client correspondence, and other project documents and records. Processes RFIs, Submittals, and Transmittals and ensures these are distributed to the appropriate stakeholders. Assists with compiling documents required for deliverables throughout the project life cycle.
- Coordinate and schedule project meetings, issue calendar invites, and distribute meeting agendas.
- Attend project meetings and record and distribute accurate meeting minutes including action items. Maintains action item log for each project.
- Serves as an internal point of contact for administrative requests.
- Collect information from project managers and subcontractors as needed to prepare client progress reports throughout the project life cycle.
- Assist in the preparation of monthly financial reporting for projects.
- Assist with material tracking, material deliveries, and associated documentation, as requested.
- Performs other duties and responsibilities as assigned.
Knowledge, Skills and Abilities Required:
- Experience: At least 1-3 years' experience in Construction industry preferred
- Education: College degree is preferred but not required
- Technical Skills: Working knowledge and good understanding of company admin policies, procedures, and operations. Experience working with relevant control systems.
- Behavioral Skills: Ability to work with multiple project teams and stakeholders.
Description of physical working environment:
- Works in a normal office environment. When in office, regularly works from a sitting position with a computer. Repetitive typing and computer use is required. Regular bending, twisting, and light lifting is common with or without reasonable accommodation.
