Warranty Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Warranty Coordinator based in India.

This role is responsible for accurately managing warranty claims and supporting dealers throughout the warranty process.
You will evaluate claims for accuracy and validity, investigate issues, and ensure established warranty policies and procedures are consistently followed.
The position combines customer service, data management, problem-solving, and detailed administrative work within a global, remote environment.
You will communicate regularly with international teams and dealers, responding professionally to inquiries and coordinating resolutions across time zones.
The role also involves analyzing historical warranty data to identify patterns, support return decisions, and escalate issues requiring management attention.
You will work extensively with business systems and productivity tools while maintaining a high standard of accuracy and attention to detail.
This is a permanent, fully remote opportunity suited to someone who is organized, service-oriented, technically comfortable, and confident working independently during an evening shift.

Accountabilities:
  • Manage warranty inquiries: Respond promptly and professionally to warranty-related questions received by email, providing clear information and maintaining strong service standards when communicating with dealers and internal stakeholders.
  • Evaluate and process claims: Input, verify, coordinate, and maintain warranty claim information in the relevant database, reviewing each claim for accuracy and validity before approving or rejecting it according to established policies and business practices.
  • Investigate claim issues: Analyze discrepancies and investigate warranty claim problems, determining appropriate resolutions and escalating matters that require management review or additional input.
  • Analyze warranty Use data mining and analysis techniques to review historical information, identify patterns, support the adequacy of returns, and surface trends or recurring issues related to warranty claims.
  • Maintain accurate records: Enter information from hard-copy warranty claims into the warranty database while maintaining fast, accurate alphanumeric data entry and detailed documentation.
  • Support dealers: Respond to requests concerning warranty reconciliations, warranty terms, and basic troubleshooting related to component replacement or repairs, ensuring customers receive accurate and timely assistance.
  • Manage cases and workflows: Use systems such as Salesforce and other warranty or business databases to create, update, track, and document cases while following established workflows and ensuring timely resolution.
  • Collaborate remotely: Work effectively with international teams using virtual collaboration tools, applying strong remote-work practices and communication standards across different time zones.
Requirements
  • Education: Bachelor’s degree is required.
  • Customer service experience: At least two years of related experience and/or training in a customer service environment, or an equivalent combination of education and experience.
  • Communication skills: Excellent written and verbal English, with the ability to compose professional correspondence, communicate clearly by phone, and demonstrate appropriate phone etiquette.
  • International collaboration: Experience communicating with international teams and working effectively across time zones using virtual collaboration platforms and remote communication practices.
  • Technical proficiency: Strong working knowledge of Microsoft Office applications, including Outlook, Teams, Excel, Word, and PowerPoint, together with the ability to learn and use warranty databases and enterprise systems.
  • CRM and case management: Experience with Salesforce for creating, updating, and tracking cases, documenting detailed case notes, maintaining accurate customer records, communicating with internal and external stakeholders, and following established workflows is preferred.
  • Data entry and attention to detail: Strong and accurate alphanumeric data-entry skills, including use of a 10-key keypad, with exceptional attention to detail and the ability to work with warranty records efficiently.
  • Analytical ability: Basic mathematical skills are required, including working with whole numbers, fractions, decimals, rates, ratios, percentages, and basic graphical information.
  • Documentation skills: Ability to read and interpret safety rules, operating and maintenance instructions, procedure manuals, and other relevant documentation.
  • Remote work readiness: Ability to work effectively from home and use a computer for approximately 8.5 working hours per day while maintaining productivity, focus, and professional remote-work etiquette.
  • Connectivity and workspace: Must have broadband connectivity of at least 30 Mbps through an accepted national service provider and a quiet, dedicated home office capable of accommodating two monitors and one laptop.
  • Equipment readiness: Required work equipment, including one or two monitors, a laptop, and supporting accessories, will be provided, with the candidate responsible for maintaining a safe and secure home-office setup.
