This remote role supports a global Talent Acquisition function by ensuring every candidate experiences a smooth, well-organized hiring journey.
You’ll coordinate complex interview processes across multiple time zones, from technical assessments to executive and security panels.
The role combines high-touch candidate support with ATS administration, compliance coordination, and recruiting operations.
You’ll work closely with recruiters, hiring managers, interviewers, and security leaders in a fast-paced technology environment.
AI-assisted tools and data insights will help you improve scheduling efficiency, communication, and recruiting workflows.
Success means keeping interview processes moving, maintaining accurate hiring data, and removing friction for candidates and internal teams.

- Orchestrate multi-stage interview loops across global time zones, coordinating coding assessments, technical architecture interviews, executive panels, and security evaluations.
- Manage calendars, scheduling conflicts, meeting rooms, and virtual conference links accurately and efficiently, using automated and AI-assisted scheduling tools where appropriate.
- Deliver a high-touch candidate experience from initial screening through offer acceptance, providing clear itineraries, interview guidance, panel information, and day-of support.
- Act as a primary point of contact for candidate logistics, interview questions, and expense-related inquiries, ensuring timely and professional communication.
- Maintain accurate candidate records and hiring workflows within the ATS, including compliance checks, background checks, NDAs, interview feedback, and scorecards.
- Monitor interviewer feedback completion and follow up as needed to ensure feedback is submitted promptly and supports timely hiring decisions.
- Use recruiting data and AI-assisted analysis to identify process gaps, scheduling bottlenecks, and opportunities to improve operational efficiency.
- Support recruiting operations by distributing job postings, assisting with industry and community recruiting events, and contributing to process-improvement initiatives.
- Develop deep expertise in the ATS and support colleagues with workflow troubleshooting, optimization, and best practices.
- Use AI tools to synthesize and structure interview feedback for hiring committees while maintaining appropriate confidentiality and judgment.
- Track key recruiting operations metrics, including time-to-schedule, interview completion, feedback timeliness, candidate satisfaction, and ATS data accuracy.
- 2–4 years of experience in recruiting coordination, talent operations, HR coordination, or a related field, ideally in a fast-growing technology or cybersecurity SaaS environment.
- Hands-on experience with modern Applicant Tracking Systems such as Ashby, Greenhouse, or Lever, along with automated scheduling tools such as GoodTime, Calendly, or Google Workspace.
- Proven ability to coordinate high-volume, complex calendars across multiple global time zones with exceptional accuracy and responsiveness.
- Strong attention to detail and a high level of discretion when handling candidate information, confidential data, and privacy-sensitive processes.
- Excellent written and verbal communication skills, combined with a professional, service-oriented approach to candidates and internal stakeholders.
- Experience using AI-assisted productivity and writing tools such as Claude or ChatGPT to improve communications, prepare materials, analyze information, and optimize workflows.
- Ability to manage multiple priorities in a fast-moving environment while maintaining accuracy, organization, and a strong candidate focus.
- Experience coordinating technical or engineering interview loops is preferred.
- Familiarity with Slack, Microsoft Teams, and the Google Workspace ecosystem is a plus.
- Working knowledge of cybersecurity terminology, industry trends, and technical recruiting environments is advantageous.
- Experience using AI-powered analytics or insights tools to identify recruiting trends and operational bottlenecks is a plus.
- A bachelor’s degree in Business Administration, Human Resources, Communications, or a related field is preferred, though equivalent hands-on experience may be considered.
- Salary: $86,694–$116,681 base salary, with actual compensation determined by factors such as experience, skills, knowledge, abilities, and location.
