Position Summary

The Accounting Assistant provides accounting and administrative support to AVLF’s finance function. This position is responsible for maintaining accurate financial records, processing routine financial transactions, assisting with accounts payable and accounts receivable, reconciling financial activity, and supporting payroll, reporting, and audit related processes.

The Accounting Assistant works closely with the Finance Manager to ensure financial information and supporting documentation are accurate, complete, and maintained in accordance with AVLF’s accounting procedures and internal controls. This role requires strong attention to detail, organization, confidentiality, and the ability to manage multiple financial and administrative responsibilities.

Essential Duties & Responsibilities

• Maintain organized and accurate accounting files, records, and supporting documentation.

• Enter financial data accurately and timely into accounting systems and spreadsheets.

• Process invoices, receipts, purchase orders, payment requests, and other financial transactions.

• Assist with accounts payable and accounts receivable administration, including scheduling payments and tracking outstanding balances.

• Prepare, distribute, and maintain billing statements and financial correspondence.

• Maintain vendor and other financial records and ensure required documentation is current and complete.

• Reconcile bank accounts, credit cards, petty cash, and other financial records and identify items requiring follow up.

• Track expenses, purchasing activity, budgets, and outstanding balances.

• Collect and verify invoices, receipts, approvals, and other supporting documentation for financial transactions.

• Assist with payroll administration, including timesheet review, employee reimbursements, and maintenance of supporting records.

• Prepare routine financial reports, summaries, and spreadsheets for management.

• Provide administrative support for month end and year end financial processes.

• Support audit activities by organizing records and providing requested documentation to the Controller, external accountants, and auditors.

• Respond to routine inquiries from vendors, employees, financial institutions, and other stakeholders regarding payments, documentation, and financial processes.

• Coordinate with internal departments to resolve billing, payment, reimbursement, and documentation issues.

• Maintain confidentiality of financial, employee, vendor, and organizational information.

• Follow AVLF accounting policies, internal controls, approval processes, and record retention procedures.

• Maintain electronic and physical financial filing systems.

• Monitor accounting related administrative expenses and office supply needs.

• Perform general administrative duties related to the finance function, including correspondence, scheduling, scanning, copying, filing, and data entry.

• Perform other related duties as assigned.

Required Qualifications

• High school diploma or equivalent.

• Previous experience providing accounting, bookkeeping, finance, or related administrative support.

• Working knowledge of basic accounting principles and financial recordkeeping practices.

• Experience processing financial transactions and maintaining supporting documentation.

• Strong attention to detail and demonstrated ability to maintain accurate and organized financial records.

• Ability to reconcile financial information and identify discrepancies requiring additional review.

• Strong organizational and time management skills with the ability to manage multiple responsibilities and deadlines.

• Proficiency with Microsoft Office, particularly Excel, and comfort learning and using accounting and financial management systems.

• Good verbal and written communication skills and the ability to communicate professionally with employees, vendors, and other stakeholders.

• Ability to handle financial and employee information with discretion and maintain confidentiality.

Preferred Qualifications

• Associate degree or coursework in accounting, finance, business administration, or a related field.

• Experience with accounts payable, accounts receivable, bank reconciliations, or payroll administration.

• Experience using accounting software or financial management systems.

• Experience working in a nonprofit or mission driven organization.

• Experience supporting financial audits or year-end accounting processes.

Working Conditions:

  • Part-time position with a schedule based on organizational and finance department needs.
  • Preference for availability Tuesday through Friday. (Schedule subject to change with advance notice)
  • Work involves regular use of computers, accounting systems, spreadsheets, and electronic financial records.
  • Position requires frequent interaction with employees, and internal and external stakeholders.
  • Must be able to maintain confidentiality and consistently follow established accounting procedures, internal controls, and financial approval processes.
