Summary Job Description:

To plan, direct, and coordinate the activities of Independence360 (I360), Spectrum360’s adult day program.

Responsibilities:

  • Implement the mission for I360.

  • Coordinate the development and implementation of plans and objectives for the program.

  • Oversee and coordinate daily operations of I360.

  • Establish and oversee administrative procedures.

  • Oversee Medicaid notes and billing.

  • Address I360 staffing needs including overseeing hiring, onboarding, training, staff hours, and coverage.

  • Coordinate supervision, training, and evaluation of full-time and part-time staff.

  • Prepare and maintain records and reports.

  • Participate in the budget development and monitoring of expenses, as well as oversight of billing.

  • Maintain program compliance with external regulations and internal policies.

  • Generate reports, verbal and written, to the CEO/ED, grantors, funding sources, licensing entities, and all others as needed.

  • Oversee meetings, training, and events for the I360 program.

  • Oversee addressing and resolving client, staff, and stakeholder grievances, as well as documenting decisions for precedent and policy consistency.

  • Oversee attendance for clients and staff.

  • Serve as liaison between I360 and the greater community to bring awareness and fundraising opportunities.

  • Assist in a leadership role in the strategic planning process for I360.

  • Understand and keep up with NJ DDD, DVRS, Medicaid state-mandated policy for Adult Programming and inform the CEO/ED of major changes impacting programming, billing, or funding.

  • Conduct interviews and written critical incident reporting.

  • In consultation with the CEO/ED, develop and implement innovative programs.

  • Assist in leading and fulfilling the mission of the NJ Day Habilitation Association and keep the CEO/ED and Head of Marketing, Communications and Community Relations informed of its ongoing work.

  • Meet with community directors and coalitions, training, and DDD personnel to gather information on adult services and bring information back to staff and CEO/ED.

  • Team up with the Development Department to help share information for grants and fundraising purposes, as well as progress reports.

  • Work with the Marketing Department to create printed material, update the website, and feed stories and successes for the purpose of marketing I360.

  • Conduct tours and intakes for potential clients and community members.

  • Along with key staff, maintain applications/licenses for DDD, DVRS, and CARF.

  • Attend marketing meetings and various conferences and workshops to promote Independence360.

  • Find solutions to programming issues, financial issues, and vocational issues.

  • Directly supervise staff.

  • Attend yearly ISP meetings, ISP worksheets, all Enhanced Needs Clinical worksheets, and generate goals with parental and support coordination input for Independence360.

  • Handle and coordinate emergency/crisis situations and manage behavioral incident reports, parent contact, and client counseling.

  • Plan and conduct 2 mandatory parents meetings per year.

  • Schedule parent/family/guardian training, both individual and group.

  • Inform clients of their rights.

  • Hear client grievances and help to resolve conflicts.

  • Attend parent meetings with staff, for planning, and to discuss concerns.

  • Create and oversee parent/guardian surveys, data collection, and record keeping.

  • Direct clinical services to identified clients, including the determination of the use of PRN medication.

Qualifications:

  • Master’s or Doctorate in related field preferred, BA required.

  • 5 or more years experience supervising program staff or in administrative role.

  • Experience with NJ DDD and/or adult systems preferred.

  • Solid written and verbal communication skills.

  • Flexible personality. Able to balance, prioritize, and utilize solid decision making on a daily basis, as well as in crisis situations, while maintaining a calm demeanor.

  • Ability to understand and recall policy, procedure, and compliance impacting programs.

  • Proven leadership experience with a solid track record of collaborating with senior leaders, as well as supervisees and other co-workers.

  • Skilled in team building, group leadership, and inspiring/leading professional employees in the achievement of desired outcomes; collaborative team player.

  • Exercise discretion in dealing with sensitive information; maintains confidentiality.

  • Technical proficiency in current administrative tools (i.e. Google, Microsoft, etc.).

  • Excellent organizational skills with the ability to quickly provide accurate information, assistance, and direction.

  • Highly motivated, self-starter with a passion for program development and sustainability.
