About This Position
The Customer Service Coordinator is responsible for providing front-line customer service for Encinitas Community and Senior Center patrons and general administrative assignments. Work schedule may vary including working weekends.
This position is a contract extended part-time position. Incumbents work 30-hrs per week and receives City benefits.- Meet and Greet Center visitors and provides customer service as needed ;
- Answer phones and e-mails, tend front desk as needed, and perform other general clerical and administrative duties as necessary.
- Accepts and processes course registrations and account for monies received;
- Oversee day-to-day operations of Center programs and projects.
- Communicate daily with supervisors to discuss activities, equipment/personnel problems, and other related issues.
- Develop reports concerning program effectiveness and identify opportunities for improving service delivery methods and procedures.
- Identify, document, and report incidents/accidents as well as opportunities for improving service and procedures.
- Prepare program event and facility promotional materials such as newsletters, calendars, fliers, menus, and brochures.
- Performs general data entry and ongoing record maintenance;
- Assists in room preparation for rental by setting-up and tearing down required equipment;
- Identifies opportunities for improving service delivery methods and procedures by determining resource needs and/or process revisions;
- May lead in the training and supervision of subordinate recreation staff, volunteers, and independent contractors and provide input on the performance;
- Determines equipment and supply requirements for program activities and obtains and stocks supplies as required;
- Provides staff assistance to the Recreation Services Supervisor(s);
- Prepares and presents reports, records, and other correspondence as appropriate and necessary;
- Maintains program files, databases and records including daily rosters, statistics, program attendance and related documents;
- Assists in the public education and enforcement of established rules, policies and procedures at City beaches, City Community Center, park facilities and events;
- Adheres to The City of Encinitas and San Dieguito Water District Safety Manual and provides safe transportation for participants of Parks and Recreation and Marine Safety events and activities;
- Uses and maintains City vehicles to run errands including picking up program and event supplies, etc.;
- Attend meetings as required.
- Performs related duties and responsibilities as required;
- Uphold safety, sanitation, and hygiene regulations.
Equivalent to an Associate’s degree from an accredited college or university with major course work in leisure studies, business administration or a related field plus four years of responsible recreation program experience including at least one year of administrative and/or lead supervisory experience.
