As the Office Receptionist you serve as the first point of contact over the phone for hospice patients and families in addition to greeting office visitors. This role requires excellent communication skills, empathy, and professionalism while supporting administrative and clerical functions.
This role operates in a professional office environment and involves routine use of standard office equipment such as phone, computers, and office software. This role will require collaboration closely with cross functional teams in a goal-oriented setting.
Essential functions of the role:
- Ensure a positive first impression for all callers; assist hospice patients & families over the phone with warmth and sensitivity.
- Greet and welcome office visitors in a professional and friendly manner, creating a positive first impression.
- Answer and direct incoming phone calls in a courteous and timely manner.
- Provide general information and hospice services and direct inquiries appropriately.
- Maintain call log in compliance with HIPAA privacy regulations
- Receive, sort, and distribute mail and deliveries.
- Perform data entry and basic administrative tasks (faxing, copying, scanning)
- Supports other departments as needed.
- Ensure the reception area remains clean, organized, and welcoming.
- Handle sensitive situations with discretion and compassion
Candidates must have the following experience to be considered:
- Previous receptionist or administrative experience (healthcare setting preferred)
- Proficiency using Microsoft Office (Outlook, Teams, Word, Excel)
- Experience in a hospice, palliative care, or healthcare administrative position.
- Experience with using an electronic health record (EHR/EMR) system.

- Knowledge of confidentiality and patient privacy laws.
Physical Requirements:
- Ability to sit for extended periods of time, with occasional standing and walking.
- Frequent use of hands and fingers to operate a computer keyboard, mouse, phone system and other office equipment.
- Ability to speak clearly and hear effectively (with or without hearing devices) to communicate with visitors, callers, and staff.
- Sufficient vision (with or without corrective devices) to read computer screens, documents, and office signage.
- Ability to reach, bend, and stoop as needed to retrieve files or supplies.
- Ability to lift, carry, or move objects such as files, packages or office supplies, typically up to 10-20 pounds.
- Occasional ability to walk short distances within the office or building to guide visitors or deliver materials.

This is a full-time, hourly non-exempt position. This position is eligible for Capstone benefits to include:
