About This Position

Description:

SUMMARY:

The Human Resources (HR) Coordinator supports all facets of Human Resources at Providence, including recruiting, onboarding, benefits administration, payroll coordination, and general employee support. This role provides day-to-day operational assistance across the full HR lifecycle, with a primary emphasis on talent acquisition. The HR Coordinator ensures accurate recordkeeping, timely communication, and consistent application of HR processes while serving as a resource for employees and managers.

MINIMUM QUALIFICATIONS (Knowledge, Skills and Abilities):

  • Bachelor’s degree in HR or related area, strongly preferred. Equivalent mix of education and experience may be considered. HR Certification a plus.
  • Minimum of one year’s experience in HR or recruiting, strongly preferred.
  • Knowledge of Microsoft products including but not limited to: Microsoft 365, Excel, Word, and PowerPoint is required. Understanding of HRIS, applicant tracking systems or similar programs preferred.
  • High level of discretion, professionalism, and understanding of confidentiality required.
  • Must possess a valid driver’s license and maintain an insurable driving record.
  • Must be comfortable interacting with employees of all levels from entry level to executive. Additionally must be comfortable interacting with candidates through a variety of mediums, including phone calls, in-person, emails, and messaging channels, while maintaining professionalism.
  • Ability to follow instructions and work independently.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Supports the full-cycle recruiting process by scheduling interviews, administering candidate assessments, welcoming applicants during onsite visits, and monitoring applicant statuses throughout the hiring process, with the opportunity to expand involvement in sourcing, outreach, and interview support.
  • Assists the Senior HR Generalist in maintaining an organized recruiting calendar by tracking upcoming events, managing participant details, coordinating outreach to partner organizations, handling event registrations, and attending career fairs.
  • Monitors job postings and applicants through LA Works and other third-party posting sites.
  • Collaborate with the HR team to create and publish engaging LinkedIn content focused on recruitment, company culture, and employee relations to enhance employer branding.
  • Contributes to the onboarding process by organizing pre-employment screenings, overseeing onboarding progress, preparing welcome resources, and liaising with departments to facilitate a seamless experience for new hires.
  • Provide administrative support to the HR team by entering and updating new hire information in HR systems in a timely and accurate manner.
  • Provides support in employee offboarding processes by initiating and tracking required paperwork, following up with managers for completion, and coordinating with relevant departments to ensure timely and accurate processing.
  • Assists the Compliance Officer with the general upkeep of the Affirmative Action Plan.
  • Assists the Payroll and Benefits Specialists in preparing and distributing compensation statements and reports.
  • Supports the Payroll and Benefits Specialist with projects as needed including but not limited to wellness initiatives, Open Enrollment, and End of Year Communications.
  • Responds to all unemployment claims in a timely manner; complete verifications of employment.
  • Maintain accurate and confidential employee personnel files by organizing, scanning, indexing, and electronically filing HR documents in accordance with company policies, HR procedures, and record-retention requirements to ensure easy retrieval and data integrity.
  • Prepare, assemble, and distribute candidate and employee packets, ensuring accuracy, completeness, and a positive experience.
  • Monitor monthly employee birthdays and work anniversaries to update staff meeting slides and milestone communications, and coordinate the collection of signatures and timely distribution of recognition cards.
  • Supports fellow HR team members in the creation and implementation of new policies, processes, and procedures.
  • Collect incoming mail and ensure accurate and timely distribution to HR team members.
  • Responds to basic employee inquiries.
  • Hybrid work arrangement; regular on-site presence (minimum three days weekly) is required to support HR operations and employee-facing activities.
  • Other duties as assigned.
