Onboarding Specialist

Reports To: Manager of People Experience

Status: Full-time; Non-Exempt

Location: Inland Empire – Moreno Valley

Hours of Operation: Monday – Friday, 9:00 AM – 5:30 PM (flexibility required to accommodate onboarding sessions, orientation activities, or coordination with program site schedules). Occasional evening or weekend hours may be required to support special onboarding cohorts or organizational events.

Hourly Range: $30.00 - $34.00 per hour (based on experience and qualifications)

What We Do:

Woodcraft Rangers provides TK-12 expanded learning programs, including before and after school, specialty enrichment, and summer learning. In the past few years, Woodcraft has expanded its menu of services beyond traditional afterschool programs and summer camps to include early learning, environmental and social justice, college access, and inclusion services for youth with intellectual and developmental disabilities. Additionally, we offer LifeCraft, a college and career advancement program to support the development of approximately 2,250 staff. Today, Woodcraft Rangers serves more than 30,000 youth ages 4 to 18 each year across 150 plus Title I schools in Los Angeles, San Bernardino, and Riverside counties, and continues to expand its reach.

Role Overview:

The Onboarding Specialist plays a vital role in shaping the early employee experience at Woodcraft Rangers. A core function of this role is facilitating the NEWS – New Employee Welcome Series – a structured, weekly program designed to orient, engage, and support new hires as they transition into the organization. The Onboarding Specialist leads these weekly sessions with consistency, professionalism, and enthusiasm, ensuring each cohort receives a welcoming and informative experience. Beyond facilitation, this position is responsible for managing all logistical and administrative components of the onboarding process – from pre-employment clearances to coordinating orientation activities and supporting new hires throughout their first 90 days. The Onboarding Specialist works closely with hiring managers and stakeholders to ensure that all new employees feel welcomed, prepared, and aligned with organizational expectations and culture from day one.

Responsibilities:

  • Initiate and monitor pre-employment screening processes, including background checks and compliance documentation.

  • Plan, prepare, and facilitate the NEWS (New Employee Welcome Series) on a weekly basis, delivering a structured, engaging, and consistent orientation experience for all incoming employees.

  • Upon clearance, coordinate New Hire Orientation logistics in collaboration with hiring managers and the HR team.

  • Draft and send Welcome Emails with comprehensive pre-first-day materials.

  • Schedule IT onboarding setup within 48 hours of offer acceptance to ensure timely access to systems.

  • Prepare and share orientation schedules and first-week agendas, including compliance training requirements.

  • Collect, verify, and process all onboarding paperwork and documentation.

  • Communicate company policies and ensure new hires understand expectations, benefits, and organizational procedures.

  • Support new hires onboarding into ADP, including payroll, timekeeping, and system navigation.

  • Schedule and conduct end-of-week check-ins to verify successful enrollment in ADP systems and benefit platforms.

  • Coordinate with hiring managers to finalize individualized Onboarding Plans prior to the new hire’s first day.

  • Partner with hiring managers to assess new hire progress, identify any concerns or gaps, and provide guidance.

  • Collect feedback and onboarding data from new hires and managers, report trends and themes to HR during biweekly team meetings.

  • Participate in monthly HR meetings to evaluate onboarding progress, identify flight risk, and propose improvement strategies.

Qualifications/Skills:

Required

  • Bachelor's degree in Human Resources, Organizational Development, or a related field preferred; equivalent experience may be considered.
  • Minimum of 3 years of experience in Human Resources, onboarding, or HR operations – preferably in a fast-paced, high-volume, or nonprofit setting.
  • Strong understanding of onboarding best practices, HR compliance, and employment lifecycle processes.
  • Familiarity with California employment law and fair hiring/EEOC compliance practices
  • Strong interpersonal and relationship-building skills, with the ability to engage candidates, Hiring Managers, and stakeholders at all levels.
  • Demonstrated experience with modern ATS/HRIS platforms (Teambridge and ADP Workforce Now preferred); proficiency with productivity tools such as Notion and Airtable, and comfort with AI tools for drafting, summarizing, and administrative support.
  • Clear and professional written and verbal communication skills.

Preferred

  • Experience in nonprofit, youth-serving, or educational organizations.
  • Bilingual (English/Spanish) is a plus.
  • SHRM-CP, PHR, or equivalent certification.
