Position Overview
GIFT Transport Inc. is seeking a highly reliable, hands-on Fleet Maintenance Coordinator to oversee the readiness, compliance, and operational performance of our commercial truck fleet.
This role is critical to maintaining maximum truck uptime, minimizing roadside breakdowns, and ensuring DOT compliance across our fleet.
The ideal candidate will be proactive, mechanically inclined, organized, and committed to supporting drivers in the field. This position requires someone who can coordinatemaintenance, communicate effectively with drivers and repair facilities, and help develop systems that reduce downtime and improve fleet reliability.
This is not a desk-only position. The role requires active involvement with trucks, drivers, service centers, and fleet operations.
Key Responsibilities
Fleet Maintenance Coordination
Work directly with mechanics, dealerships, and service centers to diagnose issues and source parts for repairs.
Coordinate and schedule preventative maintenance to ensure trucks remain operational and compliant.
Maintain accurate maintenance records and service documentation for all fleet equipment.
Monitor fleet health and identify opportunities to increase truck uptime and reduce downtime.
Fleet Inspections & DOT Compliance
Conduct routine truck and trailer inspections to ensure all vehicles remain DOT compliant.
Verify trucks contain all required documentation, permits, and safety equipment.
Prepare trucks for annual DOT inspections and roadside inspection readiness.
Identify mechanical or safety concerns early to prevent costly breakdowns.
Equipment & Supply Management
Ensure all trucks are stocked with necessary tools, equipment, and safety supplies, including:
o straps, chains, binders
o reflective triangles
o fire extinguishers
o spare fuses and repair items
Maintain inventory and ensure drivers are equipped with tools necessary for minor roadside repairs.
Driver Support & On-Call Assistance
Serve as a primary support contact for drivers experiencing mechanical issues while on the road.
Be willing to provide on-call assistance to drivers needing guidance with minor repairs or troubleshooting over the phone.
Help drivers determine whether an issue can be safely addressed on the road or requires professional repair.
Assist in coordinating roadside assistance or service center repairs when necessary.
Driver Training & Operational Improvement
Develop and document best practices for drivers to conduct minor repairs or troubleshooting while on the road.
Create professional training materials, guides, and reference resources to help drivers prevent avoidable downtime.
Support ongoing driver education related to equipment operation, preventative maintenance, and safety practices.
Vehicle Transportation
Safely transport trucks to and from dealerships, repair facilities, and inspection locations.
Coordinate pickup and drop-off of equipment requiring service.
Fleet Presentation
Ensure trucks are cleaned and maintained to company standards when necessary.
Maintain professional appearance of fleet equipment.
Required Qualifications
Valid Class A CDL
Valid DOT Medical Card
Clean driving record
Ability to operate manual and automatic commercial trucks
Strong mechanical aptitude and problem-solving skills
Ability to work independently and proactively
Preferred Qualifications
Experience working in fleet maintenance, trucking operations, or diesel repair coordination
Knowledge of FMCSA and DOT compliance requirements
Experience working with commercial truck dealerships or repair vendors
Familiarity with preventative maintenance scheduling

Physical Requirements
Ability to lift 50+ lbs
