JOB SUMMARY (Day-in-the-Life)

The Administrative Assistant plays a critical role in supporting daily office operations and maintaining accurate job documentation. This position works closely with internal teams, project managers, and operations staff to ensure job files are organized, acknowledgements are reviewed, and data is entered accurately and on time. Success in this role means job documentation is complete and accessible, records are maintained accurately in company systems, and the team is supported with timely administrative coordination. Strong Excel and organizational skills are essential to ensure efficient workflow and accurate reporting.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Ensure accurate data entry and maintenance of job records and documentation within company systems
• Maintain organized and complete job files to support operational efficiency and project tracking
• Review acknowledgements and documentation to verify accuracy and completeness before processing
• Coordinate with internal teams to support job tracking, documentation flow, and administrative processes
• Monitor and report discrepancies, missing documentation, or data inconsistencies to appropriate team members
• Utilize Excel to maintain reports, track data, and support operational needs
• Follow company safety policies and procedures
• Perform other job-related duties as assigned

Requirements:

EDUCATION, EXPERIENCE & QUALIFICATIONS

Required Qualifications

• Legal authorization to work in the United States
• Proficiency in Microsoft Excel and other Microsoft Office applications
• Strong attention to detail and organizational skills
• Ability to manage multiple tasks and maintain accurate records in a fast-paced environment
• Ability to sit and work at a computer for extended periods of time

Preferred Qualifications (nice-to-haves)

• Experience in administrative support, data entry, or office coordination
• Familiarity with job file management or construction-related documentation
• Experience working with spreadsheets and reporting tools
• Industry experience in construction, flooring, cabinets, or related fields

Experience in administrative or data entry roles is helpful but not required. We are willing to train motivated candidates who demonstrate reliability and a strong work ethic.

PHYSICAL DEMANDS

Stationary Position: Ability to remain in a stationary position (sitting or standing) for up to 80% of the workday
Mobility: Occasionally required to move throughout the office to access files, printers, or materials
Manual Dexterity: Frequently operates a computer and other office equipment such as printers and scanners
Communication: Ability to effectively communicate and exchange accurate information with customers and team members

Office/Design Center: Professional, climate-controlled office environment with moderate noise levels (e.g., computers, printers, and light foot traffic)
