Position Summary
The HVAC Service Coordinator is responsible for handling all incoming service calls and inquiries from initial client contact through to work order completion, billing, and collections. This role supports field technicians, clients, and vendors through effective communication and administrative coordination, while maintaining an accurate and up-to-date customer database.

Key Responsibilities

• Process all incoming client service, maintenance, and warranty calls professionally

• Assign service tickets to technicians based on schedule and location

• Coordinate job site access, service scheduling, and materials/equipment orders

• Maintain dispatch board and service follow-up schedules

• Verify and process technician documentation for billing

• Perform billing and follow-up on outstanding collections

• Maintain maintenance agreements and service logs

• Process departmental timesheets and assist with payroll coordination

• Replenish office supplies and support general administrative tasks

• Assist with maintenance and installation scheduling as needed

Education & Experience

• High school diploma or GED required

• Minimum 1 year of experience dispatching field technicians (HVAC preferred)

Skills & Qualifications

• Strong customer service and communication skills

• Proficient in Microsoft Office (Word, Excel, Outlook)

• Ability to multi-task and stay organized in a fast-paced environment

• Problem-solving mindset and attention to detail
