JOB TITLE: HR SPECIALIST

Location: Meridian, ID (In-Office)
Department: Human Resources
Reports To: Head of HR & Internal Operations
Employment Type: Full-Time | 40 hours per week | Monday–Friday

POSITION OVERVIEW

The HR Specialist is responsible for supporting the day-to-day execution of Human Resources functions across the employee lifecycle, including recruiting coordination, onboarding, benefits administration, payroll support, HRIS management, and compliance documentation. This role ensures HR processes are completed accurately, efficiently, and in compliance with company policies and applicable employment laws.

This position is not a management role. The HR Specialist focuses on the accurate execution of HR systems, documentation, and administrative processes while providing professional support to employees and leadership. Success in this role requires strong attention to detail, organization, confidentiality, and a service-oriented mindset.

Primary Responsibilities

Employee Lifecycle Administration

Recruiting & Hiring Support

  • Coordinate recruiting logistics including job postings, resume screening, interview scheduling, and candidate communication.
  • Support hiring managers throughout the hiring process and prepare offer documentation.
  • Ensure completion and proper filing of all new hire documentation.

Onboarding & Offboarding

  • Facilitate new hire onboarding and orientation processes.
  • Enter new hire data into Paylocity and ensure compliance with I-9, E-Verify, and required employment documentation.
  • Maintain accurate and compliant employee personnel files.
  • Process terminations in Paylocity and coordinate offboarding logistics including documentation, system access removal, and equipment return

Benefits Administration

  • Administer benefit enrollments and qualifying life event changes.
  • Maintain accurate benefit records in Paylocity and support employee benefits inquiries.
  • Coordinate the annual Open Enrollment process.
  • Track employee leave requests including FMLA and other protected leaves.

Payroll & PTO Administration

Audit timecards and support payroll processing within Paylocity.

Enter manual pay adjustments and maintain payroll documentation.

Track PTO balances, leave requests, and ensure accurate payroll reporting.

HRIS & Employee Records Management

  • Maintain accurate employee records within Paylocity and HR databases.
  • Record employee status changes including compensation adjustments, benefits updates, and transfers.
  • Maintain workers’ compensation documentation and ensure proper record retention.
  • Support HR reporting and documentation for audits and compliance.

Employee Support & Policy Administration

  • Respond to employee HR inquiries and provide guidance on company policies.
  • Escalate complex employee relations issues to the HR Manager when appropriate.
  • Support performance documentation and assist with employee engagement initiatives.

Compliance & Regulatory Execution

  • Execute HR processes in compliance with federal and applicable state employment laws.
  • Maintain documentation supporting compliance with FMLA, ADA, ACA, ERISA, and related regulations.
  • Conduct periodic internal reviews of HR documentation to ensure compliance readiness.

Systems & Documentation Management

  • Maintain HR systems including Paylocity, Confluence, SharePoint, and Trainual.
  • Ensure HR documentation, policies, and SOPs remain organized and up to date.
  • Maintain confidentiality and integrity of HR systems and employee data.

QUALIFICATIONS

  • Prior experience in an HR support role
  • Strong organizational skills with keen attention to detail
  • Excellent verbal and written communication skills
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint), and HR software tools (or Google Workspace)
  • Ability to maintain confidentiality and handle sensitive information responsibly
  • Dependable with a proven track record of reliability
  • Analytical, with the ability to interpret and organize data effectively
  • Presents a neat, clean, and well-maintained appearance appropriate for a business environment
  • Works well in a team environment
  • Excellent time management and multitasking ability
  • Experience with Paylocity is a plus
  • Highly organized, detail-oriented, and adaptable to changing priorities
