Position Summary:

The Radiation Oncology Associate is a front desk registration and scheduling position for a busy outpatient radiation oncology center.

Essential Functions and Responsibilities Include the Following:

1. Responsible for answering incoming telephone calls and responding appropriately to resolve calls efficiently and effectively.

2. Schedules patient visits in online scheduling system(s) and confirms physician appointments by phone.

3. Takes new patient information including demographics, insurance and medical history and procures necessary films, slides, and medical records from other providers.

4. Registers patient in electronic systems and makes patient appointment.

5. Prepares and /or retrieves medical documents for scheduled appointments, and scans appropriate documents, including those from other providers in medical record.

6. Assures that insurance information and referrals are collected and forwarded to billers in order to verify insurance and obtain prior authorizations and complete billing.

7. Collaborates and communicate with the health care team. Serves as liaison to nursing staff, physician offices and medical records department.

8. Utilizes appropriate steps in the decision-making process to include recognition and priority setting related to patient care and practice-based issues.

9. Maintains patient records and assists in establishing office systems.

10. May prepare and maintain various statistical data.

11. Utilizes cost containment practices.

12. Fulfills organizational responsibilities as assigned including respecting/promoting patient rights; responding appropriately to emergencies; communicating concerns/ problems relating to patients and/or staff with an immediate supervisor

13. Attends staff meetings as required/requested.

14. Completes annual mandatory requirements including Occupational Health Requirements

15. Adheres to all WPH policies and procedures including dress code, behavioral standards/code of conduct, customer service and attendance.

16. Adheres to White Plains Hospital infection control standards including, but not limited to hand hygiene.

17. All other duties as assigned.

Education & Experience Requirements:

  • High school diploma or general equivalency diploma (GED required).
  • Experience with electronic scheduling, registration and medical record systems required. Knowledge of Meditech ARIA and EPIC is a plus.
  • Knowledge to perform non-complex arithmetic calculations when compiling summaries and other statistics at the level normally acquired through the completion of high school.
  • Previous experience in a clinical setting is required including general knowledge of medical terminology.

  • Ability to communicate to physicians and other hospital employees regarding requests for information and assist physicians with basic chart completion procedures.

Physical/Mental Demands/Requirements & Work Environment:

  • May be exposed to chemicals necessary to perform required tasks. Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) database and accessed through the hospital’s Intranet site (Employee Tools/SDS Access). A copy of the SDS database can also be found at the hospital switchboard, saved on a disc.
  • Ability to remain in stationary position 90% of the time.
  • Constantly utilizes/operates computer to access information.
  • Ability to view and print microfilm records.
  • Retrieves paper reports/documents from nursing departments/units 10% of the time.
