About Motion Accessible Vehicles Team:
Motion Accessible Vehicles is part of Motion, a Canadian leader in mobility and accessibility solutions. Our Accessible Vehicles division specializes in helping individuals, families, caregivers, and organizations find transportation solutions that provide greater independence, safety, and accessibility. We work with a wide range of accessible vehicles, including wheelchair-accessible vans and vehicles equipped with specialized mobility equipment and driving aids. Our team helps customers navigate the process from initial inquiry through vehicle selection, purchase, modification, delivery, and ongoing service.
We are looking for a Sales Administrator to join our team and play an important role in keeping our sales operation organized, efficient, and customer focused.
The role:
As a Sales Administrator at Motion Accessible Vehicles, you will provide essential administrative and customer-service support to our vehicle sales team. You will be one of the key points of contact for customers and will help ensure that every vehicle purchase or conversion progresses smoothly from initial inquiry to delivery. This is a hands-on role in a busy automotive and accessibility environment. You will work closely with our sales team, customers, suppliers, financing partners, service department, and other Motion locations to coordinate information, documentation, payments, vehicle orders, and deliveries.
The ideal candidate is highly organized, comfortable working with customers, able to manage multiple priorities, and enjoys finding solutions when things don't go exactly as planned.

How you will spend your days:
- Customer Service & Communication
- Answer incoming phone calls, emails, and customer inquiries in a professional, friendly, and compassionate manner.
- Assist customers and families with questions regarding accessible vehicles, vehicle availability, orders, documentation, and delivery timelines.
- Provide timely follow-up to customers throughout the sales process.
- Coordinate communication between customers, sales representatives, service staff, suppliers, and other partners.
- Ensure customers receive a positive and professional experience from their first inquiry through vehicle delivery.
- Sales Administration
- Support the sales team with day-to-day administrative requirements.
- Prepare and maintain vehicle quotes, sales orders, invoices, purchase orders, and related documentation.
- Enter and maintain accurate customer and vehicle information in company systems.
- Track sales opportunities, vehicle orders, deposits, payments, and outstanding documentation.
- Follow up on outstanding paperwork and ensure files are complete and accurate.
- Assist with scheduling appointments, vehicle demonstrations, deliveries, and other customer visits.
- Maintain organized electronic and paper files.
- Vehicle & Conversion Coordination
- Help coordinate the movement of vehicles through the sales and conversion process.
- Communicate with suppliers, manufacturers, upfitters, and service personnel regarding vehicle orders and accessibility equipment.
- Track vehicle status expected completion dates, and delivery timelines.
- Assist with coordinating vehicle pickups, deliveries, registrations, and customer handovers.
- Ensure all required documentation is completed before a vehicle is delivered to the customer.
- Administrative & Financial Support
- Process customer payments, deposits, invoices, and other transactions.
- Assist with financing and payment documentation as required.
- Prepare reports and maintain accurate sales records.
- Assist with month-end administrative processes and reconciliation.
- Handle confidential customer and financial information with professionalism and discretion.
- Team Collaboration
- Work closely with Sales, Service, Purchasing, and other Motion team members.
- Help identify opportunities to improve administrative processes and customer service.
- Step in and assist other team members when priorities change or additional support is needed.
- Contribute to a positive, professional, and team-oriented workplace.
What you bring to the role:
- Experience & Organization
- Previous experience in an administrative, customer service, automotive, dealership, or sales-support environment is an asset.
- Strong organizational skills and exceptional attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Comfortable working with computer systems, databases, Microsoft Office, and email.
- Ability to learn new software and processes quickly.
- Experience with automotive or vehicle sales administration is an asset but not required.
- Customer Service Skills
- You genuinely enjoy helping people and understand that purchasing an accessible vehicle can be an important and sometimes complex decision for a customer and their family.You are:

- Additional Requirements
- Clean criminal background check and bondable.
- Valid Class 5 driver's license is an asset.
- Previous experience in the automotive or mobility/accessibility industry is an asset.
