Position OverviewThe Account Support Coordinator supports Palm Insurance Management’s Account Managers by handling recurring, process-driven service responsibilities, including certificates of insurance, loss-run requests and follow-up, client-file setup and administration, first-line telephone coverage, and request documentation, tracking, and escalation. This role allows Account Managers to devote more time to renewals, carrier marketing, underwriting, coverage analysis, client consultation, account planning, and problem resolution.

The ideal candidate is organized, responsive, and comfortable managing a large volume of requests without sacrificing accuracy. The role requires sufficient commercial-insurance knowledge to recognize when a request is routine and when it requires licensed or higher-level review.

Core Responsibilities
    Prepare and distribute routine certificates of insurance.Review certificate requests for completeness and accuracy.Escalate nonstandard wording, additional-insured, waiver, or coverage requests.Request loss runs from carriers and wholesalers and track outstanding requests through completion.Create and maintain electronic client files and agency-management-system records.Save and label correspondence, policies, endorsements, applications, and supporting documents.Answer incoming calls, identify the caller’s needs, resolve routine administrative questions, and route technical, coverage-related, billing, claims, or urgent matters appropriately.Document client and carrier activity in the agency-management system.Maintain open-item and follow-up lists and communicate realistic turnaround times.Support Account Managers during renewal and onboarding periods.Follow Palm Insurance’s documentation, response-time, escalation, and quality-control standards.Verify names, locations, policy information, certificate holders, additional-insured requests, and documentation requirements.Recognize requests that could change or misrepresent coverage and escalate them appropriately.Maintain confidentiality of client and company information.Other duties as assigned.
Qualifications
    High School Diploma or equivalent required.Florida 4-40 required. Active Florida 2-20 preferred.Two (2) or more years of commercial insurance experience preferred.Experience in commercial insurance, agency support, customer service, or a comparable administrative role preferred.Experience processing certificates of insurance preferred.Familiarity with loss-run requests and carrier follow-up preferred.Experience maintaining electronic client files and agency-management-system records preferred.Experience handling incoming telephone calls and routing service requests preferred.Community-association or commercial-property insurance experience strongly preferred.Experience with community association insurance lines such as Property, General Liability, Fidelity Bond, Directors & Officers, Workers’ Compensation, and Umbrella Liability preferred.Strong organizational and time-management skills.Excellent written and verbal communication skills.Ability to manage multiple accounts and priorities in a fast-paced environment.Strong attention to detail.Proficiency with Microsoft Office; HawkSoft insurance agency management system experience preferred.Professional, dependable, and customer-focused attitude.

Work Requirements
    Ability to sit and work at a computer for extended periods.Ability to use standard office equipment and electronic document-management systems.Ability to manage high-volume, repetitive work while maintaining accuracy and established turnaround standards.Ability to manage frequent interruptions, competing priorities, and time-sensitive service requests.Regular and reliable attendance is an essential function of the position.
