Software Project Coordinator- Mat Leave

This position is posted by Jobgether on behalf of a partner company. We are currently looking for a Software Project Coordinator – Mat Leave in Canada.

This role plays a key part in ensuring the smooth execution of software development and cross-functional organizational projects within a fast-paced SaaS environment. You will be responsible for coordinating project timelines, tracking deliverables, and ensuring alignment across development, operations, and business stakeholders. Acting as a central hub for communication and project visibility, you will help teams stay organized, focused, and on track from kickoff through deployment. The position requires strong coordination skills, attention to detail, and the ability to manage multiple priorities simultaneously. You will work closely with technical teams, leadership, and external partners to ensure project milestones are met efficiently. This is a highly collaborative role where your ability to structure workflows and maintain clarity directly contributes to timely and high-quality product delivery.

Accountabilities:

In this role, you will ensure effective execution of software and organizational projects by coordinating teams, tracking progress, and maintaining clear communication across stakeholders.

  • Coordinate cross-functional teams to ensure project dependencies, milestones, and deliverables are clearly defined and met throughout the project lifecycle.
  • Build, maintain, and track project plans using project management tools, covering all phases from kickoff through deployment.
  • Collaborate with technical teams to define requirements, align on development timelines, and support delivery planning.
  • Manage project communications, including weekly status meetings, daily standups, kickoffs, and retrospectives as needed.
  • Maintain project documentation, knowledge bases, and content pages to support transparency and knowledge transfer.
  • Identify at-risk projects and escalate issues to leadership, facilitating decision-making and resolution discussions.
  • Serve as the central point of contact for stakeholders, ensuring clear communication of project updates, action items, and priorities.
  • Track meeting notes, follow-ups, and action items while ensuring accountability across teams and functions.
  • Support coordination with third-party contractors and external contributors when required.
  • Assist in tracking and communicating key action items for leadership, including executive-level updates.
Requirements:

You bring strong organizational, communication, and coordination skills, with the ability to manage multiple moving parts in a fast-paced software development environment.

  • Experience in project coordination, project management support, or similar roles within software or SaaS environments.
  • Strong communication skills with the ability to clearly document, present, and relay information across technical and non-technical teams.
  • Proven ability to work cross-functionally with developers, managers, and business stakeholders to keep projects on track.
  • Strong multitasking and prioritization skills, with the ability to manage competing deadlines in a dynamic environment.
  • Experience using project management and collaboration tools such as Confluence, GitHub, or similar platforms (asset).
  • Highly organized with strong attention to detail and the ability to track multiple projects simultaneously.
  • Ability to work independently while also contributing effectively in a team-oriented, fast-paced environment.
  • Nice to have: familiarity with macOS and Apple ecosystem tools and workflows.
