Reservation Agent (Luxury 5-star Hotel) Job Description

We are partnering with a prestigious luxury hospitality group to recruit professional and service-oriented Reservation Agents to join a high-standard hotel operation.

This role is ideal for hospitality professionals who are passionate about delivering refined service, understand 5-star standards, and take pride in creating memorable guest experiences.

Key Responsibilities
  • Handle incoming room inquiries via telephone and email, utilizing sophisticated selling techniques to convert inquiries into confirmed bookings while maximizing Average Daily Rate (ADR).

  • Maintain a deep understanding of daily room availability, seasonal rate structures, and promotional packages to provide accurate information and optimize hotel occupancy.

  • Ensure all reservation details, including guest preferences, billing instructions, and flight details, are meticulously entered into the Property Management System (PMS).

  • Assist guests in tailoring their stay by suggesting room upgrades, dinner reservations, or spa treatments during the initial booking phase.

  • Monitor and process bookings from various channels, including the Global Distribution System (GDS), Online Travel Agencies (OTAs), and luxury travel consortia.

  • Assist the Reservations Manager in managing group blocks, rooming lists, and wholesale allotments, ensuring all cut-off dates and deposits are tracked.

  • Send professional, personalized confirmation letters and manage pre-arrival correspondence to build rapport before the guest sets foot in the lobby.

  • Verify credit card authorizations and advance deposits to ensure financial security for all upcoming arrivals.

Requirements
  • Minimum 1.5 years of experience in Hotel Reservations, Front Office, or in a similar role within a 5-star hotel or luxury resort.

  • Fluent in English, both spoken and written; additional language skills are an advantage.

  • Proficiency in Property Management Systems; experience with Central Reservation Systems (CRS) or Channel Managers is a significant advantage.

  • Proven ability to "upsell" and close sales by highlighting unique property features and benefits rather than just quoting prices.

  • High attention to detail with an "alpha-numeric" accuracy mindset.

  • Ability to handle complex booking requests, such as multi-room families or long-stay business travelers, with patience and efficiency.

  • Strong time-management skills to handle high volumes of emails and calls while meeting strict response-time KPIs.

  • Impeccable grooming, elegant posture, and a calm, polished demeanor.

  • Excellent communication and interpersonal skills with a confident, welcoming presence.

  • Willingness to work shift schedules, including weekends and public holidays.
