Summary
The Product Development Operations Specialist supports brokerage onboarding, ongoing brokerage account maintenance, and product and regulatory support activities. This position coordinates application intake and review, gathers required documentation, supports internal approvals and compliance review, maintains account records, and assists with product-development and system-project activities. The role also maintains trackers and documentation, supports routine filing activities and user-acceptance testing, and escalates regulatory, compliance, product, or system issues requiring interpretation or management approval.
Essential Duties and ResponsibilitiesCoordinate the onboarding of new brokerage accounts from initial inquiry through contract issuance or declination.
Forward applications to potential brokerages that meet with the Company’s appetite.
Conduct initial intake and review of brokerage applications, ensuring all required documents are submitted, information is complete, and current form versions are used.
Coordinate with applicant contacts to obtain missing documents, data, or clarification before escalating for determination of next steps.
Coordinate with appropriate internal business units for approval to move forward to an internal compliance review.
Prepare and coordinate declinations or agreements based on approval or non-approval of applicants.
Maintain ongoing brokerage accounts, including approval of evidence of professional liability (E&O) insurance coverage.
Coordinate address and contact updates and requests to add additional system users.
Coordinate requests for state additions, including review of system-fed licensing and regulatory actions to determine approval.
Process terminations of existing brokerage accounts.
Monitor a shared email account and respond to or re-route inbound emails to the appropriate business units.
Maintain filing, product-development, and system-project trackers.
Assist with assembling routine filing documents, forms, rate pages, exhibits, and supporting materials.
Organize regulatory correspondence, approvals, filing records, and product documentation.
Assist with document formatting, proofreading, version control, and record retention.
Support user-acceptance testing by preparing test scenarios, documenting results, and organizing supporting evidence.
Maintain forms inventories, product reference materials, implementation records, and written procedures.
Escalate regulatory, compliance, product, or system issues that require interpretation or management approval.
Perform additional project work and other duties as assigned.

Education and/or Experience
At least 2 years of experience in administrative support roles.
Excellent verbal and written communication skills, including the ability to write clearly and concisely, draft professional updates and emails, and ensure timely follow-up.
Methodical and thorough, maintaining a high level of accuracy in all tasks.
Adept at spotting errors and resolving or escalating discrepancies appropriately.
Self-motivated and able to strictly adhere to established company processes and protocols while knowing when to seek upward input.
Highly skilled at handling overlapping requests, multiple projects, and deadlines without sacrificing quality.
Proficient in Microsoft 365 (Outlook, Teams, Word with mail-merge experience, Excel), Adobe Acrobat, and e-signature tools; insurance portal and policy systems experience is a plus.
Collaborative team player with a desire to build a career within the insurance sector.
