Job Description
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Director of Business & People Operations based in the United States.
This is a senior, hands-on operations leadership role responsible for building the infrastructure that enables a fast-growing professional services organization to scale efficiently.
You will own utilization, capacity, workforce planning, delivery operations, people operations, and the systems that connect them.
Reporting directly to the CEO and participating in leadership discussions, you will have substantial influence over hiring, team economics, organizational design, and operating performance.
A major focus will be using AI and automation to eliminate repetitive work, improve decision-making, and create scalable operating systems.
You will lead a small team while partnering closely with finance, growth, customer, and client leadership functions.
The environment is remote, lean, profitable, experimental, and highly ownership-oriented, with significant autonomy to diagnose problems and build solutions.
This is an opportunity for an experienced operator to create the systems, processes, and culture that support sustained growth without relying on proportional headcount increases.
- Own team utilization, capacity planning, and billability, maintaining accurate resource models, forecasting staffing requirements, identifying capacity risks, and automating recurring reporting.
- Build and manage the workforce planning model covering headcount strategy, hiring schedules, progression paths, compensation bands, and team economics to support leadership decisions.
- Own the operational inputs into financial planning, including service-line margins, staffing costs, time-tracking accuracy, and project profitability, in partnership with Finance.
- Develop systems that identify margin anomalies and scope creep early while accelerating the reporting cycle and improving financial visibility.
- Design and own the delivery operating system, including SOPs, handoffs, onboarding, quality controls, project visibility, and repeatable workflows.
- Own people operations across onboarding, ramp programs, performance management, compensation strategy, multi-country employment logistics, organizational structure, and supporting systems.
- Partner with recruiting leadership to strengthen employee onboarding, retention, and workforce programs while maintaining clear ownership across the employee lifecycle.
- Govern the organization’s technology and vendor ecosystem, including time tracking, project management, CRM, AI tools, file storage, integrations, and other operational platforms.
- Establish and manage operating rhythms, including weekly reviews, monthly check-ins, quarterly planning, and annual planning, ensuring leadership decisions are grounded in reliable data.
- Lead the roadmap for AI and automation across operations, identifying manual bottlenecks, evaluating build-versus-buy decisions, deploying solutions, and measuring adoption and impact.
- Manage and develop the operations team, setting priorities, coaching team members, establishing expectations, and building capability as the organization grows.
- Diagnose operational inefficiencies and translate findings into clear priorities, scalable systems, documented processes, and measurable improvements.
- Build an initial assessment and roadmap for the function, followed by improvements to utilization reporting, operating cadence, workforce planning, and AI-enabled workflows.
- Partner closely with senior leaders across finance, growth, customer, and client success to align operational priorities with business goals.
- 5–8 years of operations experience, including at least 3 years in an agency, consulting, professional services, or comparable services environment.
- Demonstrated experience directly managing people, including operations coordinators, analysts, managers, or similar team members, with the ability to coach, provide candid feedback, and drive accountability.
- Proven ownership of utilization and gross-margin reporting within a services organization, with a strong understanding of the operational levers that influence profitability.
- Demonstrated experience implementing AI-powered workflows or automation that have moved beyond experimentation and remain actively used in an organization.
- Strong systems-thinking capabilities, with an instinct to document, automate, simplify, or eliminate inefficient processes before adding headcount.
- Experience building workforce planning models and using data to guide hiring, compensation, organizational design, promotion, or restructuring decisions.
- Strong analytical and operational judgment, with the ability to identify bottlenecks, quantify business impact, prioritize initiatives, and turn findings into action.
- Excellent written and verbal communication skills, including the ability to translate complex operational issues into concise recommendations for senior leadership.
- Comfortable operating in ambiguity and building structure without relying on an established playbook.
- Highly detail-oriented, organized, and meticulous when managing interconnected processes, systems, and sensitive information.
- Strong interpersonal skills, collaborative instincts, and a low-ego approach to working with colleagues and clients.
- Experience with operational technology, workflow automation, AI tools, and business systems is strongly valued.
- Ability to work remotely while maintaining at least 3 hours of overlapping working time with U.S. Eastern Time.
- 100% remote flexibility, with the role based in the United States and required overlap with U.S. Eastern Time.
- Health insurance, with 90% of medical, dental, and vision premiums covered for U.S. employees.
- 401(k) with employer match: 100% match on contributions up to the first 3% of pay, plus a 50% match on the next 2%.
- Quarterly profit-sharing opportunity after one year of employment.
- Unlimited vacation, with employees trusted to manage their time responsibly and encouraged to take meaningful time away.
- $2,000 annual learning and development stipend after one year of employment.
- Free books program, including a Kindle and one Kindle book per month.
- $50 monthly networking stipend for professional coffee or lunch meetings.
- Annual team offsites providing opportunities to connect in person, with previous destinations including U.S. cities and international locations.
- Direct access to the CEO and participation in leadership-level business decisions.
- Structured growth opportunities, with advancement tied to measurable outcomes and increasing scope of responsibility.
- Professional coaching and development designed to help you become exceptional in your function.
- The opportunity to make a substantial operational impact within a lean, profitable, rapidly growing organization.
