Job Description

Position Description:

Company Name: California Institute for Behavioral Health Services (CIBHS)

About Us

The California Institute for Behavioral Health Solutions (CIBHS) is a statewide nonprofit dedicated to strengthening behavioral health systems and improving outcomes for individuals, families, and communities in California and beyond. We operate at the intersection of clinical expertise and systems transformation, advancing behavioral health through a comprehensive ecosystem of technical expertise that blends implementation science and evidence-based practices with community-defined approaches to deliver sustainable, scalable solutions grounded in real-world needs. Bridging policy and practice, CIBHS partners with state and local agencies, providers, and community organizations to deliver expert training, technical assistance and capacity building; and third-party administration services.

Position Overview

CIBHS is seeking a detail-oriented and proactive Senior Project Coordinator to support the administration and implementation of complex grant-funded behavioral health initiatives that serve communities across California.

This position will play a key role in coordinating and supporting day-to-day activities of the Community Defined Behavioral Health Initiative (CDBHI) grant program, and the execution of the CDBHI project communications plan. Day-to-day activities include monitoring, tracking, calendaring, meeting preparation and documentation, developing marketing materials and digital content, and managing registrations for program trainings and events. In this role, the Senior Project Coordinator will work closely with the Communications team and other internal teams, consultants, partners, funders, and clients to help ensure work is organized, timely, well-documented, and aligned with program goals and funding requirements.

This role is ideal for someone who enjoys managing details, coordinating multiple moving pieces, communicating with diverse stakeholders, and supporting mission-driven projects that improve behavioral health systems and services.

Key Responsibilities

  • Plan and coordinate logistics for meetings, workshops, webinars, trainings, and other project related events.
  • Maintain project calendars, trackers, and timelines to support program activities, deliverables, and reporting deadlines.
  • Design key project collateral and materials, including flyers, announcements, agendas, presentations, handouts, and participant resources.
  • Set up and manage event registration sites; monitor registrations, cancellations, and participant inquiries.
  • Coordinate with consultants, partners, and funders to support training needs, timelines, materials, and invoice submission.
  • Maintain regular communication with internal and external stakeholders, providing updates and reports as needed.
  • Proofread, format, and prepare documents to ensure accuracy and alignment with CIBHS templates and branding guidelines.
  • Attend meetings, track follow-up items, and support timely completion of action steps.
  • Maintain organized project records, including deliverables, materials, and other project documentation.
  • Create and edit graphics, flyers, and other visual materials.
  • Develop content for CDBHI related social media posts, email campaigns, and other digital communications.
  • Perform basic website content updates and video editing.
  • Support the administration of online platforms used for trainings and events, including course and registration setup, enrollment, and participant support.
  • Participate in internal team meetings and contribute to ongoing process improvements.

Qualifications

  • Bachelor’s degree in a related field, or equivalent combination of education and experience.
  • At least 2 years’ experience supporting complex projects in a team-based professional environment.
  • At least 2 years’ experience creating and editing visual content in Canva or similar design tools.
  • At least 2 years’ experience developing content and performing basic video editing for social media, email, or other digital channels.
  • At least 2 years’ experience managing web-based platforms such as event registration, email marketing (e.g., Mailchimp), survey (e.g., SurveyMonkey), website content, and training platforms or learning management systems.
  • Familiarity with behavioral health, healthcare, public health, human services, nonprofit, or government-funded programs is preferred.
  • Demonstrated ability to coordinate timelines, logistics, documentation, and deliverables with strong attention to detail.
  • Strong proofreading, editing, written communication, and verbal communication skills.
  • Excellent organizational, time management, problem-solving, and follow-through skills.
  • Ability to manage multiple projects, shifting priorities, and competing deadlines in a fast-paced environment.
  • Ability to work independently, anticipate needs, and communicate effectively with internal and external stakeholders.
  • Proficiency with Microsoft Office applications, including Excel.

We recognize that candidates may bring relevant experience in different ways. If your background does not match every qualification exactly, but you believe you could be successful in this role, we encourage you to apply.

Compensation and Benefits

  • $70,000 - $75,000 per year
  • Comprehensive health insurance package, including Medical, Dental, and Vision (100% company paid for employees, 70% for dependents)
  • Company-paid Life and Long-Term Disability insurance
  • 403(b) Retirement Plan with a discretionary company match based on CIBHS’ annual financial performance
