Executive Virtual Assistant / Accounting Real Estate Support

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Executive Virtual Assistant / Accounting Real Estate Support based in South Africa.

This long-term remote role combines executive assistance, real estate operations, bookkeeping, and light marketing support. You’ll work closely with business owners to keep administrative workflows organised, properties running smoothly, and financial records accurate. Your responsibilities will span calendars and communications, tenant coordination, property transactions, bookkeeping, and digital listings. You’ll also support the presentation of properties through basic photo and video editing. The role is designed to grow alongside your capabilities, with the opportunity to move from part-time to full-time as trust and workflow expertise develop. Accountabilities
  • Manage emails, calendars, scheduling, follow-ups, and day-to-day administrative workflows for the business owners.
  • Conduct online research covering vendors, pricing, logistics, travel, accommodations, and other business or personal requirements.
  • Coordinate selected personal and family-related tasks, including event, travel, and scheduling arrangements.
  • Prepare reports, track projects, organise digital files, and maintain accurate company documentation.
  • Support property management activities using Buildium, AppFolio, or comparable systems.
  • Record rent payments, update tenant information, apply applicable early-payment discounts, and maintain accurate property records.
  • Communicate professionally with tenants through email and text regarding maintenance, property updates, payments, and other routine matters.
  • Support tenant screening and application tracking, as well as move-in and move-out coordination.
  • Manage property listings, coordinate showings, and communicate with prospective clients and other relevant parties.
  • Record and reconcile transactions in QuickBooks and support monthly reconciliations for property management accounts.
  • Coordinate trust account payments and ensure financial records align accurately with property management system entries.
  • Prepare straightforward financial summaries and assist with expense, receipt, and transaction tracking.
  • Edit and upload property photos and videos for listings and social media channels.
  • Perform basic photo editing, including cropping, brightness adjustments, and watermarking, using Windows Photos, Adobe tools, Canva, or similar software.
  • Trim and prepare property walkthrough videos using Adobe Premiere Elements or comparable editing tools.
  • Create and maintain property listings on platforms such as Zillow, Facebook Marketplace, and MLS where authorised.
  • Maintain a high standard of responsiveness, accuracy, initiative, and professionalism across all assigned responsibilities.
Requirements:
  • 3+ years of experience in real estate, executive assistance, property management support, bookkeeping support, or a closely related role.
  • Proficiency with QuickBooks and familiarity with property management platforms such as Buildium, AppFolio, or similar systems.
  • Experience with basic photo and video editing using tools such as Adobe Premiere Elements, Canva, Windows Photos, or comparable applications.
  • Excellent written and verbal English communication skills, with strong professional communication etiquette.
  • Strong organisational and multitasking abilities, with exceptional attention to detail and accuracy.
  • Comfortable managing a diverse combination of business, administrative, financial, property, and personal-assistance responsibilities.
  • Ability to work independently, prioritise tasks effectively, follow through on commitments, and proactively identify what needs to be done.
  • Reliable internet connection and suitable computer equipment for fully remote work.
  • Ability to work according to U.S. Eastern Time (EST) hours.
  • Experience managing rental property portfolios or supporting a real estate agency is highly desirable.
  • Basic understanding of U.S. real estate terminology, lease agreements, rental processes, and property management workflows is advantageous.
  • Familiarity with Google Workspace, Microsoft Office, Excel, and Google Sheets is a plus.
  • Confidence handling tenant, vendor, client, and other external communications professionally.
  • Strong judgement and discretion when handling financial information, tenant records, business documents, and personal matters.
