Job Description

Hospitality Systems Administrator

Reports directly to the Director of IT. This is a hands-on individual contributor role managing systems and daily support.

Mission

Keep restaurant systems reliable and accurate, support employees, and improve internal IT across 14 locations and two concepts. Bring the technical skills and restaurant knowledge to resolve issues and complete work independently, with priorities set directly with the Director of IT.

Current workload is approximately 70% restaurant systems and POS, and 30% internal IT. Travel and onsite work are included in this split. Priorities shift with restaurant needs.

What Success Looks Like

  • Menus, beer selections, prices, and promotions are tested and ready at the right locations on time.
  • Restaurant issues are resolved with clear updates and minimal disruption to service. Recurring problems are addressed at their source.
  • POS, rewards, and accounting systems provide accurate information, and employees understand how to use them.
  • Accounts, devices, security tools, and asset records stay current. Important alerts receive timely action or escalation.
  • Deferred IT work moves forward, procedures are documented, and rollouts and site visits are well prepared.

Restaurant Systems and POS

Approximately 70% of the current workload

  • Own Toast POS configuration, including items, menus, beer, pricing, modifiers, and promotions. Clarify requests with operations, test changes, and deploy them to the correct locations.
  • Maintain accounting-related configuration and CTUIT/R365 programming. Work with accounting and operations to resolve mapping and reporting issues.
  • Support ordering, kitchen, and rewards applications. Test updates and coordinate vendor fixes.
  • Troubleshoot and repair POS devices remotely and onsite. Track requests through resolution and train restaurant employees on systems and changes.
  • Experience administrating loyalty programs. Punch loyalty experience preferred.

Internal IT

Approximately 30% of the current workload

  • Administer Microsoft 365, user accounts, permissions, and licenses. Support employee onboarding, offboarding, devices, and applications.
  • Maintain assigned security tools and employee training. Review alerts, follow response procedures, and escalate significant issues directly to the Director of IT.
  • Maintain asset records and carry out hardware and software rollouts, testing, and documentation.
  • Handle occasional routine network maintenance and troubleshooting. The Director of IT retains network design, major changes, budgets, and technology strategy.
  • Complete agreed backlog priorities and support approved transitions of Microsoft 365 and remote monitoring and management tools in-house.

Site Support and Communication

  • Travel to locations for repairs, troubleshooting, training, and deployments. Prepare equipment and access, coordinate with restaurant staff, and verify repairs before leaving.
  • Work directly with the Director of IT on priorities, progress, coverage, and issues needing a decision. Flag workload conflicts early.
  • Communicate clearly with operations, accounting, and vendors. Explain what is affected, what happens next, and when to expect an update.

What You Bring

  • Experience independently supporting restaurant POS and internal IT systems across multiple locations.
  • Toast configuration skills and an understanding of restaurant service, promotions, and reporting. Aloha experience is helpful during migration; CTUIT/R365 experience is strongly preferred.
  • Practical Microsoft 365 administration, device support, account management, and basic network troubleshooting skills. Familiarity with security and RMM tools is valuable.
  • Sound judgment, organized follow-through, and the ability to solve problems and train users without constant supervision.
  • Relevant education, certifications, or equivalent practical experience. Demonstrated ability is central to this role.

Initial Priorities and Work Expectations

Work directly with the Director of IT to stabilize daily support, assist with the remaining POS migration as needed, and establish a realistic backlog plan. Progress is reviewed through timely changes, repeat issues, ticket age, completed improvements, and site-visit results.

Based in Grand Rapids with regular travel to restaurants. Schedule site work and service-sensitive changes with operations and agree on support coverage with the Director of IT. Duties include computer work, moving through restaurant areas, and occasionally moving equipment up to 35 pounds, with reasonable accommodation.
