Pay Range: $55,000 - $65,000/year
Position Summary
The Sales Coordinator keeps LINX's sales pipeline moving and accurate, owning day-to-day CRM management in Microsoft Dynamics, proposal packaging through Connected, and timely bid decision communication to General Contractors. This role also drives change order follow-through across Sales, Operations, and Estimating so nothing falls behind, and supports the sales team with lead research (ZoomInfo, DC Byte), account planning for key growth accounts, and contract timeline management as agreements move through legal review. Beyond pipeline mechanics, the Sales Coordinator partners with the Business Systems team on sales performance metrics, works directly with manufacturing and distribution partners to secure product registration and long lead time materials, updates marketing collateral, and plans customer-facing events. It's a role built for someone who's organized, detail-driven, and comfortable being the connective tissue between sales, operations, estimating, and outside partners.
Key Responsibilities
CRM & Pipeline Management
- Maintain accurate, current entries in Microsoft Dynamics for every active opportunity
- Update project timing and milestones as bids and awards move through the pipeline
- Close out opportunities promptly once an outcome is determined
- Building Connected entries and package proposals for submission
- Draft and send Building Connected emails notifying General Contractors of bid acceptance or rejection
Change Order Coordination
- Compile change orders from the pipeline each month and route them to the appropriate Project Managers
- Follow up directly with Project Managers to confirm correct timing and closeout on every change order
- Coordinate with Sales, Operations, and Estimating to manage the change order workflow, both before and after project setup
- Track open change orders proactively so they don't get overlooked or fall behind schedule
Lead Research
- Research prospective accounts and projects using ZoomInfo
- Track upcoming data center construction opportunities using DC Byte
Marketing Support
- Update marketing collateral (capabilities statements, geography coverage, and similar materials) as offerings and markets change
Event Planning
- Plan and execute customer outings
- Coordinate customer gifts
- Organize participation in local market events
Data Analysis & Reporting
- Partner with the internal Business Systems team to build more detailed, customized metrics that sharpen sales strategy
- Compile frequent reporting on Day 2 win rates and averages, revenue growth per account over time, and related account performance metrics
Material Management
- Work directly with manufacturing partners to secure product registration and design wins on active projects
- Coordinate with distribution partners and manufacturers to secure long lead time products
Contract Workflow Support
- Manage contract timelines for Sales as agreements move through legal review
- Provide an extra layer of review alongside Legal and AI review tools to keep approvals and redlines moving on schedule
Account Plan Development
- Map organizational structure at key growth accounts
- Build and maintain account plans that reflect each account's evolving structure and needs

Qualifications
Required
- 2+ years of experience in a sales coordination, sales operations, or contract/proposal administration role
- Hands-on experience managing pipeline and opportunity data in a CRM platform (Microsoft Dynamics or comparable)
- Demonstrated experience coordinating time-sensitive workflows across multiple departments (sales, operations, estimating, legal) with a track record of nothing falling through the cracks
- Strong written communication skills, with experience drafting external-facing correspondence (customers, General Contractors, or similar stakeholders)
- Proficiency in Microsoft Excel or equivalent for compiling and reporting on sales and account performance data
