Job Summary:
The Patient Checkout Clerk plays a key role in creating a positive patient experience from check-in through checkout. In addition to greeting, assisting, and registering patients, accurately updating demographic information in the electronic system, collecting co-pays, deductibles, and other payments, scheduling appointments, and answering telephones, the Patient Checkout Clerk performs a variety of administrative, reception, and clerical duties. This position may also require occasional travel to and coverage at other offices and/or facilities as needed.
Key Responsibilities:
- Greeting and providing information to assist customers or referring them to the appropriate contacts, either within the clinic or elsewhere.
- Patient registration, reception duties, telephone interactions, and scheduling duties as needed.
- Accurately verifying, adding, and updating patient demographic information.
- Accurately collecting and copying insurance information and verifying that insurance coverage is in effect at the time of service.
- Acknowledging patients’ arrivals electronically to ensure the office is aware they have arrived.
- Accurately collecting and processing co-pays, deductibles, and payments on outstanding balances.
- Presenting, explaining, and collecting customer signatures on all applicable required documents.
- Accurately maintaining, balancing, and closing the batch and cash drawer at the end of each shift.
- Scheduling follow-up appointments, procedures, or referrals as directed by providers.
- Providing patients with visit summaries, instructions, or educational materials as needed.
- Ensuring proper documentation of all check-out procedures in the EMR system.
- Answering incoming phone calls promptly and professionally.
- Performing all tasks in close adherence to clinic policies, procedures, and regulatory compliance standards.
- Carrying out other clerical duties such as filing, mailings, and distributing handouts.
- May require travel to other offices and/or facilities and floating between satellite offices, departments, or facilities.
- Cross-training may be required in scheduling, pre-authorizations, referrals, rooming patients, etc.
- Other duties as assigned or necessary.
Qualifications:
- Prior experience in a medical office, clinic, or healthcare setting required.
- Proficiency with Electronic Medical Records (EMR) systems and the ability to learn new software quickly.
- Strong customer service skills with a focus on professionalism, courtesy, and patient satisfaction.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask in a fast-paced environment while maintaining accuracy.
- Knowledge of medical terminology, HIPAA compliance, and OSHA requirements preferred.
Education:
- High School diploma or GED required
High School or Equivalent or better.
