This role is a key administrative backbone within a fast-paced global sales and proposal environment, ensuring that all pre-sales and bidding operations run smoothly, accurately, and on time. You will support proposal teams by managing critical documentation, maintaining compliance across multiple systems, and coordinating data across internal and external platforms. The position plays an essential part in enabling sales and proposal professionals to focus on customer engagement and revenue generation by removing operational friction. You will interact with bid portals, compliance tools, and customer-facing systems while ensuring precision in every detail of submission and reporting. Working in a high-volume, deadline-driven setting, you will help maintain data integrity, process consistency, and operational efficiency. This is an ideal role for someone who enjoys structured administrative work with strong ownership and cross-functional exposure.
- Provide end-to-end administrative support for pre-sales and proposal operations, including vendor forms, subcontractor documentation, and proposal-related submissions with high accuracy and timeliness.
- Maintain and update centralized repositories, ensuring all sales collateral, reference data, and proposal materials are current, organized, and easily accessible.
- Support proposal specialists by coordinating documentation needs, managing bid portal submissions, and ensuring compliance with opportunity distribution processes.
- Manage customer contracted portals and third-party compliance platforms, ensuring accurate monthly reporting and maintaining required performance standards.
- Track, collect, and maintain reference data, prequalification details, and registration information across multiple systems and databases.
- Assist in maintaining CRM and sales reporting tools, ensuring data accuracy, integrity, and timely updates across workflows.
- Support continuous improvement initiatives by identifying process gaps and contributing to operational efficiency and quality enhancements.
- High school diploma or equivalent required; associate’s or bachelor’s degree is a plus.
- 2–4 years of experience in administrative, sales support, operations, or similar office-based roles.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook) and comfort working with CRM systems and data platforms.
- Excellent attention to detail with the ability to maintain 100% accuracy in a fast-paced, deadline-driven environment.
- Strong organizational and multitasking skills, with the ability to manage competing priorities effectively.
- Clear written and verbal communication skills, with the ability to interact professionally across internal teams and external stakeholders.
- Analytical mindset with the ability to compile, interpret, and maintain structured business and sales documentation.
- Ability to work independently, maintain confidentiality, and handle sensitive information with discretion.
- Competitive hourly compensation ranging from approximately $19.23 to $26.45, depending on experience and location
