About the Role

Fabuwood is looking for a highly organized, proactive, and dependable PMO Coordinator to support our Project Manager and help keep projects moving efficiently.

In Fabuwood's fast-moving work environment, priorities can shift quickly and strong follow-through is essential. This role is ideal for someone who enjoys creating structure, staying ahead of deadlines, communicating across teams, and making sure important details don't fall through the cracks.

You'll work closely with the Project Manager and collaborate with multiple departments, helping coordinate schedules, meetings, documentation, action items, and day-to-day project needs. The goal is simple: keep projects organized, teams aligned, and deliverables moving forward.

Schedule: M-Th 8AM-5PM, F 8AM-1PM

Key Responsibilities

  • Coordinate meeting logistics and scheduling across internal teams, vendors, and external partners.
  • Prepare, organize, format, and distribute project materials, including meeting agendas, notes, status updates, action-item trackers, and supporting documentation.
  • Maintain accurate and organized project files, folders, and tracking systems using tools such as Asana and SharePoint.
  • Attend project meetings, take clear and actionable notes, document decisions, and ensure next steps and owners are identified.
  • Proactively follow up with team members on outstanding action items and commitments.
  • Track project deadlines, milestones, and deliverables and provide timely reminders to help keep projects on schedule.
  • Assist the Project Manager with gathering and organizing information for project updates, budgets, timelines, and leadership reviews.
  • Coordinate communication between departments to help ensure information is shared clearly and projects continue moving forward.
  • Help identify missing information, upcoming deadlines, or potential administrative roadblocks before they impact project progress.
  • Maintain confidentiality when working with sensitive company, project, vendor, client, or financial information.
  • Provide general project support, including data entry, document organization, and other responsibilities as needed.

Qualifications

  • Experience in a project coordinator, PMO support, or similar project-based role.
  • Strong organizational and time-management skills with the ability to manage multiple priorities at once.
  • Excellent written and verbal communication skills.
  • Strong attention to detail with consistent follow-through.
  • Comfortable working in a fast-paced, deadline-driven environment where priorities may evolve.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
  • Experience with Asana, SharePoint, or other project-management and collaboration tools is a plus.
  • Comfortable working with project schedules, timelines, deadlines, and action-item tracking.
  • Ability to work independently, take initiative, and know when to escalate questions or concerns.
  • Collaborative mindset and ability to work effectively with employees across different teams and levels of the organization.
  • A proactive approach—you don't just track what needs to happen; you help make sure it happens.

Preferred Skills

  • Previous experience supporting Marketing, Construction, IT, Operations, or cross-functional project teams.
  • Familiarity with basic project-management terminology and processes, including milestones, deliverables, dependencies, timelines, and scope.
  • Experience coordinating meetings and following up with multiple stakeholders.
  • Ability to adapt quickly, prioritize effectively, and stay organized when managing several projects or requests at the same time.
