About the Role
Hope & Help is seeking an experienced, dependable, and hands-on Facilities & Safety Manager to oversee the maintenance, safety, security, and operational readiness of our facilities, including Headquarters and Hope & Help Pharmancy

This is a working manager position. While the role is responsible for coordinating vendors, contractors, preventive maintenance, safety initiatives, fleet operations, and facility projects, the Facilities & Safety Manager is also expected to personally handle routine maintenance and minor repairs when appropriate.
We are looking for someone who takes ownership of the physical environment, sees what needs to be done, and is comfortable both coordinating outside professionals and rolling up their sleeves to get the job done.

What You’ll Do
Facilities Operations & Maintenance
•Oversee daily facility operations at Headquarters and Orlando ProCare.
•Conduct routine facility inspections and identify maintenance and repair needs.
•Perform minor facility maintenance and repairs.
•Replace light bulbs, ballasts, locks, door hardware, ceiling tiles, and similar building components.
•Coordinate repairs requiring licensed or specialized contractors.
•Maintain facility records, warranties, and service documentation.
•Manage building access and key control.
•Help ensure facilities remain safe, functional, professional, and operationally ready.

Facilities Projects & Property Management
•Coordinate preventive maintenance schedules.
•Manage vendors, contractors, and facility service agreements.
•Track work orders and facility projects through completion.
•Support renovations and facility improvement projects.
•Participate in readiness and transition planning for Hope & Help’s new headquarters.
•Monitor facility-related expenditures and identify cost-saving opportunities.

Safety, Security & Emergency Preparedness
•Coordinate workplace safety initiatives and programs.
•Support OSHA awareness and compliance activities.
•Conduct facility safety inspections.
•Coordinate emergency preparedness and evacuation planning.
•Maintain safety records and corrective-action plans.
•Assist with investigations of facility-related incidents.
•Coordinate security and access-control systems.
•Support organizational risk-management efforts related to facilities and safety.

Fleet Management
•Oversee organizational vehicle operations.
•Coordinate vehicle maintenance, repairs, registrations, inspections, and insurance.
•Maintain fleet records and compliance documentation.
•Support driver-safety initiatives.
•Monitor fleet utilization, condition, and replacement needs.

Operational Support & Procurement
•Manage facility-related purchasing and procurement.
•Coordinate office supplies and operational inventories.
•Maintain maintenance tools, equipment, and facility supplies.
•Support organizational events, room setups, moves, and other facility logistics.
•Respond to urgent facility needs as appropriate.

What We’re Looking For
Required Qualifications
•High school diploma or equivalent.
•Minimum of 5 years of experience in facilities management, maintenance, construction, fleet management, safety programs, or operational leadership.
•Experience managing vendors and contractors.
•Knowledge of facility operations and building systems.
•Working knowledge of HVAC, plumbing, electrical, and mechanical systems.
•Ability to perform minor maintenance and repair tasks.
•Strong project-management, organization, and problem-solving skills.
•Ability to manage multiple priorities and respond effectively to urgent facility or safety needs.
•Proficiency with Microsoft Office and related systems.
•Ability to work independently while collaborating effectively with employees, leadership, contractors, vendors, and external partners.

Preferred Qualifications
•Associate degree, trade-school certification, or related technical training in facilities management, maintenance, construction, safety, or a related field.
•Hands-on maintenance experience.
•Knowledge of OSHA and workplace safety practices.
•Experience with emergency preparedness, evacuation planning, security, and access control.
•Fleet-management experience.

This Is a Hands-On Role
The Facilities & Safety Manager should be comfortable moving between administrative and physical responsibilities throughout the workday.
One day may involve coordinating a contractor, reviewing a preventive-maintenance schedule, or completing a safety inspection. The next may require replacing hardware, addressing a minor repair, preparing a room for an organizational event, or responding to an unexpected building issue.
We are looking for someone who manages the work and is also willing and able to do the work.

Physical Requirements
This position requires:
•Frequent walking, standing, bending, reaching, and lifting.
•Ability to lift up to 50 pounds.
•Ability to safely use ladders, hand tools, and maintenance equipment.
•Manual dexterity necessary for routine facility and maintenance work.
•Travel between organizational facilities and other locations as needed.
•Ability to work in indoor, outdoor, maintenance, storage, parking, and mechanical areas as necessary.

Schedule & Availability
This is a full-time position. The role generally works during normal organizational operating hours but may require an adjusted schedule, overtime, or occasional evening/weekend work based on emergencies, maintenance activities, inspections, organizational events, or operational needs.

•Vendors and contractors perform according to expectations.
•Facility projects remain organized and move forward on schedule.
•Employees and visitors have a safe, functional, and well-maintained environment.
