The Executive Assistant is responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner.
The Executive Assistant reports to the Executive Director to support with Executive Director duties, and is responsible for providing senior level secretarial and clerical services for appointed PEACE Staff.
The following duties are representative for this position. The omission of specific statements of duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Roles and Responsibilities:
- Provide executive secretarial and administrative support to the Executive Director, to include the following:
- Writing and reviewing correspondence
- Management of ED’s calendars, including setting/canceling appointments
- Generation of confidential documents based on notes/dictation
- Managing the ED inbox
- Project manager for important projects.
- Receive, direct and relay telephone messages and fax messages
- Creation of presentations and typing/preparation
- Meeting and conference planning, travel accommodations and other assignments
- Make preparations for Board Meetings and committee meetings
- Perform other related duties as required
Compensation Information
Part Time 20 - 30 hours per week
Hourly: $15/hr
Requirements:Minimum Requirements
Education:
High school diploma/GED required
Associate's Degree preferred
ExperienceThe experience and qualifications preferred for this position include:
- Minimum of 2 years of experience providing executive, administrative, or clerical support
- Experience supporting senior-level leaders or managing confidential and time-sensitive information
- Experience coordinating calendars, meetings, correspondence, records, and multiple priorities
- Experience working in a school, nonprofit, or fast-paced professional environment preferred
- Demonstrated effectiveness in working with diverse staff, families, community members, and external partners
- Strong organizational, administrative, and time-management skills
- Excellent attention to detail and ability to follow through on multiple priorities and deadlines
- Strong written, verbal, and interpersonal communication skills
- Ability to maintain a high level of confidentiality, professionalism, and discretion
- Ability to anticipate needs, solve problems, and work proactively with limited supervision
- Strong customer service and relationship-building skills
- Proficiency with technology, including email, calendars, documents, spreadsheets, and other office productivity tools
- Ability to manage competing priorities in a fast-paced environment
- Works effectively both independently and collaboratively as part of a team
- Demonstrated belief in and commitment to the mission, vision, and values of PEACE Academy
