We are a growing outpatient practice on Maui, dedicated to meeting a critical need in our community by providing high-quality Physical, Occupational, and ABA Therapy services to children of all ages and abilities. Responsibilities:

The Patient Services Coordinator (PSC) is a pivotal role in our pediatric therapy practice, acting as the first point of contact for new referrals and families. This position is essential in creating an excellent patient experience that fosters patient/family engagement and investment in our clinic. The PSC will build relationships with families, guiding them through their journey with us, and ensuring that they feel heard, valued, and prepared for their therapy experience. The PSC will also build relationships with referral sources to ensure they are educated about our services and have an excellent experience with PTH.

  • Answer phone calls, using your amazing communication skills and create rapport with our families
  • Help new families through our intake process in order for their children to become patients
  • Greet patients and family and make them feel welcome
  • Ensure patient information is up-to-date and verified
  • Check out families as they leave and make sure they understand our policies and procedures, and know their upcoming appointment dates and times
  • Schedule patients according to their agreed upon plan of care and appointment type needed, utilizing your strong organizational skills
  • Navigate and update charts in the EMR (Electronic Medical Records) system
  • Manage therapists' calendars efficiently and effectively, and help them maintain full schedules
  • Ensure all new patients are getting scheduled and arriving for their appointments
  • Review our policies and procedures with our families to ensure agreement
  • Assist our families however possible to help them arrive on time for their appointments
  • Arrange translation services for families who need this assistance
  • Help keep the clinic clean, organized, and comfortable for our kiddos, families, and staff
  • Make sure supervisor and colleagues are up-to-speed and on the same page with all front desk updates and communication
  • Maintain positive working relationships and clear channels of communication with colleagues and clients
  • Support additional administrative tasks as assigned

Requirements:
  • Medical or dental front desk experience is required
  • Basic computer skills
  • Data processing/analyzing proficiency—Practice management software, Google Docs/Spreadsheets
  • 1-2 years experience with EMR (Electronic Medical Records) systems
  • Excellent customer service, (1 year preferred)
  • Excellent organizational skills
  • Excellent attention to detail
  • Excellent communication skills
