Job Description

JOB SUMMARY

The purpose of this position is to ensure the effective and efficient daily operations of the Municipal Court. To support the vision, mission and guiding principles of the City and Court Services department. While performing any procedures, all associates and contract personnel must observe applicable Safety, Health, and Environmental rules and guidelines. Attend and participate in training opportunities and seminars relevant to this position. Adhere to appropriate City operating procedures, benefit rules, employment, and safety policies/practices.

ESSENTIAL JOB FUNCTIONS

  • Responsible for receiving warrants from court staff, preparing warrants and information for entry by police department into the GCIC/NCIC, and clearing appropriate warrants when served or with validation problems.
  • Prepares individuals files folders and files the warrants in the appropriate warrant file within the Court department, maintains files of active, inactive, served, or cleared warrants.
  • Make telephone contacts as necessary to contact people either who assist in locating the wanted person or the wanted person; attempt to persuade the wanted person to surrender to police and provide information to wanted person as to the charges and steps that must be taken to satisfy warrant.
  • Perform computer checks of all individuals coming to the attention of the department to determine if warrants are active and advise appropriate personnel.
  • Incumbents will run drivers and criminal history for court calendars as needed.
  • Performs general office work as required and performs other duties as required and/or directed by the Director/Court Administrator.
  • Provide clerical support by answering and directing phone calls, assisting at the front counter, distributes paperwork and information, and files paperwork
  • Coordinating with other personnel, law enforcement agencies, and relevant stakeholders to ensure efficient warrant processing and execution.
  • Provides assistance and information to attorneys, agencies, City staff, and the general public on court procedures and the status of cases.
  • Performs other duties as assigned.


MINIMUM QUALIFICATIONS

Education and Experience:

High school diploma or GED. Associate’s Degree with two years of college coursework from an accredited college or university in criminal justice or related field preferred.


Two (2) years’ experience in a municipal court environment; equivalent combination of education and experience.


Possession of or ability to obtain the Georgia Crime Information Center (GCIC) Terminal Operator Certification within 60 days of hiring.

Possession of a valid Georgia Class C driver’s license.

Preferred Qualifications:

Bachelor’s degree from an accredited college or university in Criminal Justice or closely related field; supplemented by two (2) years of previous experience in court procedures and records management, legal office work, office administration, customer service, and personal computer operations, or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills and abilities of this job.


Special Qualifications:

  • Must be GCIC certified or successful completion of Georgia Crime Information Center Security and Awareness training within 60 days of hire date.
  • Must be able to maintain valid Georgia Crime Information Center (GCIC) Terminal Operator certification.
  • Computers and peripheral equipment.
  • Designated software applications.
  • Telephones, copiers, and other office equipment.
  • Courtware software or other court IT systems.

Knowledge, Skills, and Abilities:

  • Basic knowledge of the practices and procedures involved in law enforcement record keeping and confidentiality.
  • Knowledge of City policies, procedures, codes, ordinances and applicable State, federal, and Local laws.
  • Knowledge of GCIC rules and regulations.
  • Knowledge of modern office practices, methods, equipment, and standard clerical procedures.
  • Knowledge of basic bookkeeping practices.
  • Knowledge of basic math and accounting practices.
  • Knowledge of appropriate contacts for related police and court issues.
  • Skill in operating a computer and entering data into a database.
  • Ability to operate GCIC to run criminal and driving history reports.
  • Ability to read and comprehend various technical reports and legal terminology.
  • Ability to handle confidential information.
  • Ability to handle stressful situations.
  • Ability to communicate with confrontational people.
  • Ability to maintain accurate records.
  • Ability to type and enter data correctly.
  • Ability to maintain accurate and complete records.

PHYSICAL DEMANDS

Visual acuity in both eyes, normal color vision, good accommodation and no field deficits; hear in-person, radio and telephone conversations; recognize differences or changes in sound patterns, loudness or pitch; speak audibly and clearly; identify and distinguish smells of different materials; sit or stand for prolonged periods; walk, run, kneel, stoop, crawl and crouch; make precise and coordinated finger, hand and limb movements; maintain uniform, controlled hand-arm posture or movement; lift and carry boxes of evidence and/or supplies (average 50 pounds).

  • Repetitive Motion: Substantial movements (motions) of the wrist, hands, and/or fingers.
  • Speaking: Expressing or exchanging ideas by means of the spoken word including the ability to convey detailed or important spoken instructions to other workers accurately and concisely.
  • Visual Acuity: Have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading.

WORK ENVIRONMENT

Work is performed in an office environment and may require a willingness to work any hour of the day or night (shift work), overtime, or weekends.
