Job Description

Meals on Wheels Orange County is the largest nonprofit provider of nutrition and supportive services for at-risk older adults. It is committed to erasing hunger and loneliness for at-risk older adults through nutritious meals, friendly visits and safety checks, and keeping families together through day services. Through its critical services, the organization delivers nearly 2 million meals to 20,000 at-risk older adults each year throughout Central and North Orange County. Mon-Fri, 5:00 am-1:30 pm
Entry Level Position: Rate varies depending on experience

$23.00 - $26.00 per hour (Hourly rate will be determined based on factors such as geographic location, skills, education, and experience).

JOB SUMMARY: The Purchasing Coordinator supports the Purchasing Specialist in purchasing, inventory control, and vendor management activities for kitchen operations. This position assists with procurement, inventory planning, order management, invoice reconciliation, and maintaining accurate data within the ERP system. The Purchasing Coordinator serves as the primary backup to the Purchasing Specialist and helps ensure uninterrupted purchasing and inventory operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist with purchasing food, ingredients, packaging, and operational supplies to support production schedules, customer requirements, and inventory needs.
  • Create, review, and process purchase orders in the ERP system, ensuring accuracy, timely order placement, and proper documentation.
  • Run and verify inventory, production, and planning reports to support purchasing decisions and maintain appropriate inventory levels.
  • Monitor food, supply, and menu costs to support budget objectives and ensure compliance with nutritional and program-specific requirements.
  • Support inventory control activities by maintaining accurate inventory records, investigating discrepancies, and identifying slow-moving, excess, or obsolete inventory.
  • Promote and support compliance with First-In, First-Out (FIFO) inventory rotation practices to minimize waste, maintain product freshness, and support food safety requirements.
  • Coordinate with vendors, warehouse personnel, and internal departments to resolve shortages, substitutions, quality concerns, delivery issues, and other purchasing-related matters.
  • Verify receiving documentation, assist with invoice reconciliation, and maintain accurate vendor, pricing, and purchasing data within the ERP system.
  • Serve as backup to the Purchasing Specialist and perform assigned purchasing, inventory management, and vendor management responsibilities as needed.
  • Perform additional duties and responsibilities as assigned.

EDUCATION, EXPERIENCE, and QUALIFICATIONS

  • Associate degree preferred or equivalent combination of education and experience.
  • One to three years of purchasing, inventory control, warehouse, or food manufacturing experience preferred.
  • Proficiency in ERP systems and Microsoft Office applications, particularly Excel.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to work effectively with vendors and cross-functional teams.

PHYSICAL REQUIREMENTS

  • Frequently move throughout warehouse and production environments, including entering coolers and freezers.
  • Frequently operate computers and office equipment.
  • Occasionally lift and move items weighing up to 50 pounds.
  • Ability to communicate effectively and accurately exchange information.
