Role Overview

The Recruiting Coordinator / Recruiting Operations Specialist serves as the operational backbone of the talent

acquisition function for a client engagement. This person ensures that interview scheduling runs smoothly,

feedback loops close on time, and all stakeholders — internal recruiters, hiring managers, and external vendor

partners — stay aligned throughout the hiring process.

This is a high-touch, high-volume coordination role that requires exceptional attention to detail, strong

communication skills, and the energy to manage multiple moving parts simultaneously across time zones.


Key Responsibilities

• Own end-to-end interview scheduling across multiple hiring managers, interviewers, and time zones, ensuring

calendar alignment and timely confirmations.

• Coordinate and track interviewer feedback collection, following up with hiring teams to ensure evaluations are

submitted within established SLAs.

• Serve as the primary point of contact between the client's hiring managers, internal recruiting team, and

external staffing vendors for all scheduling and process-related inquiries.

• Maintain and update the Applicant Tracking System (ATS) with accurate candidate statuses, interview notes,

and disposition codes.

• Support the standardization of the client's recruiting workflows, including feedback templates, interview

scorecards, and stage-gate criteria.

• Monitor pipeline health dashboards and flag bottlenecks, stale candidates, or scheduling conflicts to the TA

lead.

• Prepare and distribute interview packets, candidate briefs, and debrief agendas to interviewers in advance of

scheduled sessions.

• Assist with onboarding coordination for new hires, including background check initiation, offer letter logistics,

and Day 1 readiness tasks.

• Identify and recommend process improvements to reduce scheduling cycle time and improve candidate

experience.


Required Qualifications

• 3 years of experience in recruiting coordination, HR operations, or a comparable high-volume administrative

role.

• Proficiency with ATS platforms (e.g., Greenhouse, Lever, Rippling, Workday) and scheduling tools (Google

Calendar, Calendly, GoodTime, or similar).

• Excellent written and verbal communication skills in English; bilingual English/Spanish strongly preferred.

• Demonstrated ability to manage competing priorities in a fast-paced, multi-stakeholder environment.

• Strong attention to detail with a track record of maintaining data accuracy across systems.

• Comfortable working across time zones (US, LATAM, and potentially EMEA).


Preferred Qualifications

• Experience supporting technical hiring pipelines (cybersecurity, cloud, software engineering, or data/AI roles).

• Familiarity with recruiting metrics and pipeline reporting (time-to-fill, pass-through rates, interviewer

utilization).

• Exposure to process improvement methodologies or recruiting operations frameworks.

• Prior experience coordinating across external vendor/staffing partners.
