This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Manager, Proposal Operations based in the United States.
This is an exciting opportunity for an organized and proactive operations professional to lead proposal coordination in a fast-paced, collaborative environment. In this role, you will oversee proposal workflows from intake through final submission, ensuring projects remain compliant, well-organized, and on schedule. Working closely with proposal managers, business development teams, and cross-functional stakeholders, you will streamline processes, manage production resources, and support the delivery of high-quality submissions. You will also play a key role in improving operational efficiency through effective workflow management and modern technology solutions. - Lead proposal intake, scheduling, prioritization, and resource allocation to ensure timely and efficient proposal delivery.
- Manage day-to-day proposal production workflows, including editing, formatting, document control, and submission readiness.
- Supervise proposal production resources by providing operational guidance, workload coordination, and ongoing support.
- Track proposal milestones, contributor deadlines, compliance requirements, and submission schedules across multiple concurrent projects.
- Review solicitations and RFPs to identify production requirements, compliance obligations, and submission guidelines.
- Coordinate proposal documentation, forms, attachments, and final quality reviews to ensure complete and compliant submissions.
- Organize and maintain proposal files, document repositories, and workflow records using collaboration and document management platforms.
- Support hardcopy production activities when required, including printing, packaging, labeling, and shipping.
- Collaborate with proposal managers, business development professionals, operations leaders, and internal stakeholders to drive successful proposal execution.
- Identify opportunities to improve proposal operations, workflow efficiency, and operational processes.
- Bachelor's degree or an equivalent combination of education and relevant professional experience.
- Minimum of 5 years of experience in proposal operations, proposal management, business development support, project coordination, or related operational roles.
- Experience managing proposal workflows, compliance documentation, document control, or production support.
- Previous supervisory, team lead, or workflow management experience is preferred.
- Familiarity with government proposals, RFPs, RFQs, compliance requirements, and proposal development processes is an advantage.
- Strong organizational skills with exceptional attention to detail and the ability to manage multiple deadlines simultaneously.
- Excellent communication, stakeholder management, leadership, and collaboration skills.
- Strong problem-solving, prioritization, and project coordination abilities.
- Advanced proficiency with Microsoft Word and working knowledge of document management, workflow, or CRM platforms such as Salesforce, SmartSuite, or similar tools.
- Interest or experience in leveraging AI-powered tools to improve operational efficiency and proposal processes.
