Position Summary:
The Team Member Engagement Coordinator supports and executes workforce engagement initiatives, communication practices, and Operations follow-up routines across the facility. This role maintains a strong floor presence while ensuring engagement activities, communication standards, and tracking processes are consistently executed.
The Specialist contributes to improving employee experience by identifying engagement trends, supporting communication effectiveness, and reinforcing leadership follow-up routines. The role operates within defined scope boundaries, ensuring all employee matters are appropriately escalated to the correct functional owner.
Requirements:Duties / Responsibilities:
Employee Engagement and Floor Presence
- Maintain regular floor presence to build relationships with employees and Operations leadership
- Support and coordinate recognition programs, engagement activities, Director Lunches, and listening sessions
- Capture general workforce feedback themes and engagement opportunities
- Support consistency of engagement routines across shifts and departments
- Escalate individual employee concerns or sensitive issues appropriately
Workforce Communication Support
- Coordinate and distribute approved operational communications
- Maintain workforce communication boards and engagement materials
- Support communication planning for engagement activities and operational updates
- Identify communication gaps and share improvement opportunities
- Route policy, payroll, benefits, safety, and employment-related questions to the appropriate functional owner
Operations Follow-Up Tracking
- Maintain and update weekly follow-up trackers confirming Supervisor and Manager review of attendance and safety reports
- Monitor completion of leadership follow-up actions and escalate outstanding items
- Provide visibility into follow-up status and gaps in execution
- Track completion only; does not calculate points or participate in corrective action
Engagement Tracking and Reporting
- Maintain engagement trackers, logs, and calendars
- Support preparation of engagement summaries highlighting trends and participation
- Track engagement activities, recognition programs, and follow-up actions
- Identify basic trends and share observations with Operations leadership
Site Integration and Workforce Support
- Support post-onboarding site integration, including employee check-ins and connection touchpoints
- Assist with new-hire experience tracking (30/60/90-day check-ins)
- Support engagement initiatives focused on retention and employee connection
- Assist with coordination of events and engagement logistics
Program and Administrative Support
- Support teamwear distribution, tracking, and issue escalation
- Maintain accurate records for engagement activities and participation
- Assist with coordination of engagement calendars and events
- Support site-level engagement initiatives and programs
Escalation and Governance
- Escalate employee relations concerns, complaints, and conduct issues immediately
- Route policy, payroll, benefits, leave, and accommodation questions to HR or appropriate functional owners
- Escalate safety concerns and workers’ compensation questions to EHS and Operations leadership
- Maintain adherence to defined role scope and escalation processes
Required Qualifications
- High school diploma or equivalent required
- 1–4 years of experience in operations, administrative support, employee engagement, or related field
- Strong communication and interpersonal skills
- Strong organizational and follow-up capabilities
- Ability to manage trackers, calendars, and routine reporting tools
- Ability to maintain confidentiality and escalate appropriately
Preferred Qualifications
- Experience in a 3PL, manufacturing, warehouse, or high-volume operations environment
- Experience supporting engagement activities or communication programs
- Microsoft Office proficiency (Excel, Outlook, Teams, PowerPoint)
- Bilingual communication skills, where applicable
Physical Requirements:
Work is performed in office and operational environments, including warehouse, logistics, manufacturing, distribution, supply chain, or similar settings.
- Must be able to travel between assigned locations as needed and maintain a visible, supportive HR presence across sites.
- May require flexibility to support multiple shifts, urgent employee relations matters, investigations, employee concerns, or time-sensitive business needs.
- Prolonged periods of sitting at a desk and working on a computer may be required.
- Must be able to access and navigate departments, offices, production areas, warehouse areas, and other operational spaces at assigned facilities.
- Must follow all applicable safety requirements and wear required personal protective equipment when present in operational areas.
- Scope: Supports multiple sites, departments, business units, or operational locations, including hourly and salaried populations where applicable.
- Reporting: Disciplinary reporting to the BU Director of Administration; functional reporting to the Regional HR Leader.
- Travel: Travel between assigned locations is expected, typically 30-40% depending on site footprint and business need.
