About The Role
The Night Audit role in our Front Desk department is an hourly, full-time position responsible for overseeing the hotel’s front office operations during overnight hours. This position ensures the accuracy of daily financial transactions, balances and closes the day’s accounts, and prepares detailed reports for management. In addition to accounting and reporting responsibilities, the Night Audit serves as the primary guest-facing representative overnight, providing exceptional customer service, handling late check-ins and early check-outs, and responding to guest requests and emergencies. This role is ideal for someone who is detail-oriented, comfortable working independently during night shifts, and committed to maintaining a safe, secure, and welcoming environment for guests and staff.
What You'll Do
- Perform nightly audit of front desk transactions, including room charges, payments, adjustments, and postings to ensure accuracy and completeness.
- Reconcile and balance daily revenue from all outlets, including rooms, taxes, fees, and incidentals, in accordance with company policies and procedures.
- Close the business day in the property management system (PMS) and generate daily reports for accounting and management review.
- Verify, correct, and post room rates, discounts, and special packages, resolving discrepancies in coordination with appropriate departments.
- Process and review credit card, cash, and direct-bill transactions, ensuring proper documentation and compliance with security standards.
- Prepare and distribute daily revenue and occupancy reports, including night audit summaries and any variance explanations.
- Handle guest check-ins and check-outs during overnight hours, including reservations, room assignments, and payment processing.
- Respond promptly and professionally to guest inquiries, requests, and complaints, ensuring a high standard of service even during low-activity periods.
- Monitor property security overnight, including awareness of entrances, exits, and potential safety concerns, and follow established emergency procedures when necessary.
- Coordinate with housekeeping and maintenance by logging and communicating service requests, room status updates, and any issues identified during the night.
- Maintain a clean, organized, and professional front desk and lobby area, including light housekeeping tasks as needed.
- Follow all company policies regarding cash handling, data privacy, and guest confidentiality.
- Assist with reservations, modifications, cancellations, and special requests received during the night shift.
- Conduct end-of-shift procedures, including shift handover notes, log entries, and communication of outstanding issues to the incoming staff.
- Support other departments as needed during overnight hours while maintaining primary responsibility for front desk and audit tasks.
Qualifications
- Previous experience in hotel front desk, night audit, or a similar customer service role preferred.
- Basic understanding of accounting principles and comfort working with numbers and financial transactions.
- Proficiency with computer systems, including property management systems (PMS), point-of-sale (POS) systems, and standard office software.
- Strong attention to detail and accuracy, particularly when handling financial data and reports.
- Excellent communication and interpersonal skills, with the ability to interact professionally with guests and team members in English.
- Ability to work independently with minimal supervision and manage time effectively during overnight shifts.
- Strong problem-solving skills and sound judgment, especially in handling guest issues and unexpected situations overnight.
- Availability to work overnight hours on a full-time schedule, including weekends and holidays as needed.
- Reliability and punctuality, with a strong sense of responsibility for end-of-day closing processes.
- Ability to stand for extended periods, move around the property, and occasionally lift or carry items as required for front desk operations.
- Familiarity with hotel operations, reservations procedures, and cash-handling best practices is an asset.
- High school diploma or equivalent required; additional training or coursework in hospitality, business, or accounting is a plus.
The pay range for this role is:
17 - 17 USD per hour(Hilton Garden Inn Billings)
