Job Overview:

The Operations Support Specialist provides critical administrative, operational, and coordination support to ensure efficient execution of organizational requirements. This position supports daily operations, facilitates communication across internal and external stakeholders, assists with process implementation, and ensures documentation, coordination activities, and organizational tasks are completed accurately and efficiently.

The Operations Support Specialist serves as a key contributor in maintaining operational effectiveness by supporting business processes, improving workflow execution, ensuring compliance with established procedures, and providing responsive customer support across the organization.

Support Hours: Applicant shall be available during core work hours as established the Government customer.

Essential Duties & Responsibilities:

  • Supports day-to-day organizational operations by coordinating administrative activities, tracking requirements, and ensuring timely completion of assigned actions.
  • Supports Army Science Division Program Managers in the development, coordination, and preparation of conference packages while coordinating with DTS Management and Program Analysts as required.
  • Maintains accurate documentation of organizational processes, procedures, and business practices, including administrative handbooks, policies, and operational guidance.
  • Supports the implementation, communication, and execution of organizational policies and procedures to ensure consistent compliance across the organization.
  • Provides outstanding customer service by assisting personnel with operational processes, administrative requirements, and coordination activities.
  • Identifies process challenges, recommends improvements, and assists with implementing solutions to improve organizational efficiency.
  • Supports Administrative Officers with awards preparation, documentation, coordination, and processing requirements.
  • Assists with personnel onboarding and offboarding activities, including coordination of in-processing and out-processing actions.
  • Supports planning, coordination, and execution of organizational events, leadership visits, meetings, and engagement activities.
  • Maintains effective communication with Government personnel, contractors, leadership, and stakeholders to ensure operational requirements are understood and completed.
  • Tracks assigned actions, monitors suspense dates, follows up on deliverables, and ensures completion of organizational requirements.
  • Utilizes office automation tools, databases, and organizational systems to manage information, prepare documents, and support reporting requirements.
  • Performs other related duties as assigned.

Requirements:

Minimum Requirements/Education:

  • A bachelor’s degree or five (5) years of relevant business, operations, or administrative experience may be substituted for degree requirements.
  • Experience supporting organizational operations, administrative processes, customer support, or program coordination.
  • Experience using Microsoft Office applications, spreadsheets, databases, and information management tools.
  • Strong attention to detail with the ability to ensure accuracy in documentation, reporting, and compliance activities.
  • Demonstrated problem-solving skills with the ability to identify challenges, recommend improvements, and support process enhancements.
  • Excellent organizational skills with the ability to manage multiple priorities, meet deadlines, and support competing requirements.
  • Strong written and verbal communication skills with the ability to interact professionally with stakeholders at all organizational levels.
  • Proficiency with business computer applications, office software, databases, and organizational tools.

Security Requirement:

  • Must be eligible to access classified materials up to the level of CONFIDENTIAL established through completion of a TIER 3 personnel security investigation with results favorably adjudicated by the DoD Consolidated Adjudications Facility.
