JOB SUMMARY
The Quality Administrative Assistant provides clerical and operational support to the Quality team, maintaining records, organizing documentation, preparing document packages, monitoring and updating calibration recall reports, and managing general data entry.
JOB DUTIES AND RESPONSIBILITIES
· Perform tasks as assigned by the Quality Assurance Manager
· High level of involvement processing NCMRs and MRB dispositions
· Maintain visibility and organization of MRB cage inventory and movement
· File and maintained documents to Aerospace industry standards for proper retention and retrieval in accordance with our written quality manual and procedures.
· Maintain and manage multiple Quality databases, ensuring accurate data input and timely status updates as workflows are completed.
· Verify all submitted documents for completeness prior to scanning, naming, and filing. Verify that all scanned files are high quality and fully legible.
· Create document packages for external source inspections and audits, including the printing and cataloging of hardcopies in organized binders.
· Pull data sets and create reports utilizing Microsoft Office software such as Excel, PowerPoint, and Word. Reports will utilize various visual graphics, charts, and tables.
· Retrieve Power BI reports and insert them into the appropriate presentation slides for various reoccurring meetings.
· Maintain and manage calibration using dedicated recall software and ensure all gauges are accounted for, create PO request for outsourced calibration, prepare gauges for shipment, and update all calibration records on the company server.
· Support and maintain 6S programs for safety and organization initiatives
· Assist in data migration and updates needed for the ERP system and quality modules within the digital workspace
· Work within the ERP digital workspace for quality transactions and workflows
· Work within the ERP system for part movement transactions associated with NCMRs and MRB activity
· Ensure QA office supplies are replenished as needed.
Requirements:JOB REQUIREMENTS AND MINIMUM QUALIFICATIONS
· Highschool Diploma or equivalency
· 3 Years experience in data entry/document control (Aerospace and Quality Assurance experience preferred)
· Experience with Global Shop or Epicor ERP systems (preferred)
· Experience with Digital QMS software such as Hexagon ETQ (preferred)
· Must be a proficient user of Microsoft Office products such as Excel, Word, outlook, and PowerPoint
· Must be highly organized in daily workflows and workspace
· Must maintain high levels of focus on details and completing tasks in a timely manner, in a fast-moving environment
· Must be able to switch between, pause, and restart tasks within the same shift
· Must be able work semi-autonomously with minimal supervision
PHYSICAL REQUIREMENTS & WORKING CONDITIONS
While performing the duties of this job, employees are regularly required to sit, walk and stand; talk or hear, both in person and by telephone; use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms; and lift up to 25 pounds.
