About This Position

GENERAL SUMMARY:

Responsible for identifying and supporting departmental efficiencies for switchboard, scheduling, registration, and patient reception/discharge. Duties include coverage for all identified areas and working closely with the Patient Access Supervisor to ensure staffing, scheduling and delivery of an exceptional patient experience.

PRINCIPAL JOB FUNCTIONS:

1. *Commits to the mission, vision, beliefs and consistently demonstrates our core values.

2. *Greets patients in a friendly and timely manner while delivering an exceptional patient experience.

3. *Interviews and registers incoming patients in person; obtains and data enters patient demographic and financial information in the Bryan Heart computer systems; ensures data integrity, completeness and confidentiality in a variety of areas as assigned by supervisor.

4. *Effectively manages calls from providers both internal and external to Bryan Heart and strives towards exceptional customer service in all interactions.

5. *Uses the electronic medical record to task nursing staff with appropriate caller information, identifying which critical information can be sent as a task and which ones are urgent requests that cannot wait.

6. *Performs a variety of clerical duties including entering patient data into the computer, scanning, and cataloging documents into the electronic medical record.

7. *Understands and operationalizes federal regulations regarding COBRA, Medicare, OSHA and HIPAA; reports safety and customer concerns.

8. *Supports the financial goals of Bryan Heart by ensuring timely collection of patient deductibles, co-insurance and deposits; identifies underinsured, uninsured and self-pay patients for immediate referral to patient accounts.

9. Prepares and provides patients with an estimate, if one is warranted, for their expected services. Collects and/or counsels on expected payment due.

10. Works directly with the Patient Access Supervisor to operationalize new/revised policies/procedures.

11. Assists in training and onboarding of new hires on specific duties utilizing training manuals and on-the-job coaching.

12. *Follows Bryan Heart protocols in communicating and releasing patient information.

13. *Calls primary care physicians and/or patients to relay special instructions for procedures or appointments.

14. *Manages incoming patient referrals and schedules new patient, post-op and follow-up appointments.

15. Supports Out-State Clinic Coordinator in scheduling appointments for out-state clinics, as necessary.

16. Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.

17. Participates in meetings, committees and department projects as assigned.

18. Performs other related projects and duties as assigned.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

1. Knowledge of federal regulations including COBRA, Medicare, OSHA and HIPAA.

2. Knowledge of medical and business office procedures and processes.

3. Knowledge of medical terminology and coding practices.

4. Knowledge of correct grammar, spelling and punctuation to facilitate typing patient information.

5. Knowledge of third party payer requirements.

6. Knowledge of basic body mechanics and wheelchair operation.

7. Knowledge of computer hardware equipment and software applications relevant to work functions.

8. Knowledge of customer service philosophies and practices.

9. Skill in operating a computer, photocopier, multi-line telephone system and fax machine.

10. Ability to exercise courtesy and professionalism in receiving office callers and visitors.

11. Ability to prioritize work demands and work with minimal supervision.

12. Ability to communicate effectively both verbally and in writing.

13. Ability to establish and maintain effective working relationships with all levels of personnel, medical staff, volunteer and ancillary departments including diverse patient populations.

14. Ability to maintain confidentiality relevant to sensitive information.

15. Ability to comprehend and follow written and oral instructions.

16. Ability to sort and file materials by alphabetic or numeric systems correctly.

17. Ability to maintain regular and punctual attendance.

EDUCATION AND EXPERIENCE:

High School diploma or equivalency required. Certified Medical Assistant or Licensed Practical Nurse preferred. Minimum of two (2) years work experience in a medical office setting required.
