US Payroll Assistant

Position: Payroll Operations Assistant (US Payroll) Location: Remote Employment Type: Fulltime Role Overview The Payroll Operations Assistant supports the endtoend payroll process for USbased clients, ensuring payroll is processed accurately, on time, and in compliance with federal and state regulations. This role requires handson experience with US payroll, strong attention to detail, and the ability to operate in a fastpaced, deadlinedriven environment. The ideal candidate demonstrates ownership, precision, and confidence communicating in advanced English (C1 level) with internal teams and clients.
Key Responsibilities Payroll Processing Support
Assist in the endtoend processing of US payroll for assigned clients. Prepare and process termination checks in accordance with US federal and state requirements. Support offcycle payrolls, corrections, and payroll adjustments. Update and maintain employee pay data, including:
Pay rate changes Deductions and garnishments Bonus and special payments
Ensure payroll changes are accurately reflected prior to payroll deadlines.
Timekeeping & Attendance Management
Monitor employee timecards daily to ensure completeness and accuracy. Audit time entries for inconsistencies (overtime, missed punches, accrual errors). Send proactive email reminders to managers for missing or pending time approvals. Review and process PTO requests aligned with US labor policies and client rules.
Reporting & Documentation
Run payroll, timekeeping, and audit reports for internal teams or clients. Maintain detailed documentation of all payroll changes and updates. Track payroll activities, deadlines, and updates within ClickUp or similar project management tools. Ensure documentation is auditready and easy to reference.
Compliance & Quality Control
Ensure payroll data complies with:
US payroll regulations (FLSA, federal/state laws) Clientspecific payroll policies
Identify and escalate payroll risks, discrepancies, or unusual patterns. Support internal audits and compliance reviews.
Required Skills & Qualifications Mandatory Requirements (NonNegotiable)
Proven experience supporting US payroll operations. Advanced English proficiency (C1 level or above) — written and verbal communication. Experience working with US timekeeping systems and payroll software. Strong understanding of US payroll concepts (overtime, PTO, terminations, adjustments).
Preferred Qualifications
Previous experience in payroll support, HR operations, or payroll administration. Strong attention to detail and confidentiality handling payroll data. Excellent organizational and timemanagement skills. Comfort working with:
Spreadsheets (Excel / Google Sheets) Payroll systems Project management tools (ClickUp preferred)
Proactive mindset with strong followup habits. Ability to work independently and collaboratively across teams.
