JOB SUMMARY:

The IT Administrative Assistant provides administrative and operational support to the SVP of IT, with a strong focus on prioritizing the SVP’s time and overall effectiveness, while also supporting the broader Information Technology department. This role coordinates priorities, facilitates departmental operations, and ensures seamless communication across initiatives, vendors, and internal stakeholders.

The ideal candidate is a highly organized, proactive problem-solver who demonstrates sound judgment and the ability to prioritize in a fast-paced environment. This individual anticipates needs, manages competing priorities, and handles confidential information with the utmost discretion, ensuring both the SVP’s office and the IT department operate efficiently and effectively.

DUTIES & RESPONSIBILITIES:

  • Manage the SVP’s calendar and priorities, ensuring alignment with the highest-impact activities and organizational needs.
  • Serve as a key coordination point for the SVP’s schedule, helping prioritize requests and resolve conflicts as needed.
  • Provide direct support to the SVP, including coordinating travel, meetings, and logistics.
  • Prepare and proofread correspondence, reports, and presentations; ensure all departmental communication is professional.
  • Maintain organized digital filing systems and ensure departmental records (contracts, licenses, etc.) are easily accessible.
  • Coordinate departmental meetings, record detailed minutes, and track follow-up items to ensure team goals stay on track.
  • Assist with processing invoices, tracking expense reports, and maintaining communication with IT contractors and vendors.
  • Assist with vendor management activities, including contract tracking, renewals, and software license oversight.
  • Assist with coordination of IT initiatives, team activities, and cross-departmental requests, including scheduling, tracking action items, and supporting team communication.
  • Perform other duties as assigned.

QUALIFICATIONS:

  • 2–3 years of administrative experience, preferably within a technical or fast-paced corporate environment.
  • Experience supporting senior leadership or managing complex schedules preferred.
  • Strong verbal and written skills with a "customer service" mindset for both internal and external stakeholders.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously.
  • Comfortable with Google Workspace (Docs, Sheets, Slides), including the ability to create and manage spreadsheets for tracking, organization, and reporting.
  • Demonstrated ability to take ownership of tasks and follow through to completion.
  • A mindset that embraces every task, regardless of its size, coupled with the ability to maintain composure and concentration in challenging situations.

PHYSICAL DEMANDS:

  • This person must be able to communicate and express themselves both written and verbally.
  • This person must be able to observe, inspect, estimate, and assess.
  • This person must be able to sit, stand, bend, walk, and climb stairs for long periods of time.
  • This person must be able to lift 20 lbs.
