Assistant Medical Practice Manager
Job Summary
The Assistant Practice Manager supports a 6 physician Cardiology practice by leading day-to-day people management and front-office operations. This role partners closely with physicians to ensure positive employee experience, consistent patient service, and smooth operational execution. This position supervises staff, acts as a liaison between staff and the Practice Manager, and is accountable to the practice Physicians for follow through of requests. The ideal candidate is a proactive leader with strong employee relations expertise who can independently manage staff while maintaining a high-performing, patient-centered environment.
Position and Supervisory Responsibilities
· Serve as the first point of contact for all employee concerns, conflicts, performance issues, and attendance matters.
· Oversee daily staffing coverage, schedule adjustments, and callouts to ensure uninterrupted patient care.
· Monitor timekeeping accuracy and adherence to attendance standards.
· Act as the primary escalation point for patient complaints and service issues.
· Support onboarding, training coordination, and ongoing staff development.
· Ensure staff deliver consistent, professional, and compassionate service.
· Assist with policy compliance and coordinate staff meetings and policy changes.
· Lead performance management processes, including coaching, corrective action, documentation, and improvement plan in partnership with HR.
· Conduct regular staff check-ins to proactively identify morale, workload, and engagement risks.
· Addresses any personnel issues to promote a productive and supportive environment
· Maintain an adequate presence within the office to ensure the smooth operation of all areas and the coordination of all staff.
· Coordinate and oversee the day-to-day operations of the practice.
· Performs other duties as required by the practice Physicians.
Requirements/Qualifications
· Strong organizational, human resources and management skills.
· Strong understanding of healthcare office operations, scheduling, insurance billing and patient flow preferred.
· Keen sense of responsibility, accountability and confidentiality.
· Ability to multi-task, prioritize, be process oriented and be able to effectively problem solve/trouble shoot.
· Demonstrated strength in employee relations, conflict resolution, and performance management.
· Proven ability to work independently and manage sensitive situations with professionalism and discretion.
· Ability to manage multiple and simultaneous responsibilities.
· Ability to communicate effectively with patients, providers and clinical staff
· Ability to interact professionally and equitably with varying levels of the organization.
· Use of Microsoft Outlook, WORD and Excel.
· Use of computerized practice management system.
· High school diploma required. A relevant college degree preferred.
· Minimum 3–5 years of healthcare practice management, assistant practice management, or equivalent supervisory experience required.
Pay: $65,000-$75,000 per year
