Job Title: Executive Assistant
Department: Executive/Admin
Reports to: Chief Executive Officer
FLSA Classification: Non-Exempt
Salary Range: $20.00 - $34.00 hourly
Effective Date: September 1, 2024

Job Summary: The executive assistant will provide administrative support to the Executive team, acting as a point of contact for internal and external requests, managing calendars, and preparing expense reports. Additionally, this position will be responsible for office operations including maintaining supplies, managing building maintenance and vendor relationships, and coordinating IT support.

Supervisory Responsibilities: None

Duties/Responsibilities:
Answers, screens, and transfers phone calls for Executive team.
Maintains policy and procedure filing system.
Prepares monthly board meeting materials and committee meeting materials.
Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
Responds to and resolves administrative inquiries and questions.
Coordinates and schedules travel, meetings, and appointments for the board, managers or supervisors.
Prepares agendas and schedules for meetings.
Records and distributes minutes or other records for meetings.
Maintains office supplies and coordinates maintenance of office equipment.
Schedule and coordinate meetings. including technical setup and catering.
Create meeting agendas, including ensuring that board and committee packets contain all necessary information.
Maintain a policy and procedure approval schedule and filing system.
Take meeting minutes (HCB, HCBC, Trustees Committee, Loan Committee, IT Committee (notes only), Management Meetings, KRA Meetings, BOIT Meetings), ALCO Committee, Audit Committee, IT Committee
Organize and schedule travel for the executive team and the Board of Directors.
Create the employee newsletter.
Plan, organize, and execute events, including office parties, team-building events, customer appreciation events, and community outreach events.
Handle food coordination and setup general snack stocking and board meeting meals.
Work on projects as assigned.
Assist with vendor management, including contract approvals and recordkeeping.
Handle policy redlines as dictated by members of management.
Handle the creation and stocking of internal swag materials such as HCB cups and t-shirts.
Pull board reports.
Performs other related duties as assigned.

Required Skills/Abilities:
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Proficient in Microsoft Office Suite or related software.
Excellent organizational skills and attention to detail.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Ability to work independently.

Education and Experience:
High school diploma or equivalent is required.
Previous customer service experience, retail, or management experience is preferred.

Physical Requirements:
Must be able to lift up to 50 pounds at times.
May need to stand for long periods of time.
